Richmond Wholesale is seeking a detail-oriented Account Coordinator to support the flow of products and communication between our support teams and Account Managers. This role coordinates container planning and loading schedules, tracks inbound shipments, and helps resolve delays that could affect customer satisfaction or delivery timelines. This is a highly collaborative, fast-paced role with direct exposure to Account Management and Logistics leadership, offering strong potential for growth within account and operations management.

Essential Duties and Responsibilities:

• Plan container loads and coordinate loading schedules to ensure timely and accurate shipments.
• Track inbound product shipments, monitor expected arrival dates, and resolve delays or discrepancies.
• Proactively identify and resolve issues that may affect customer satisfaction or product delivery timelines.
• Communicate shipping updates, product availability, and potential concerns to Logistics teams and other internal departments.
• Support Account Managers with order entry, customer communications, and account follow-up during high-volume periods and absences.
• Maintain accurate, up-to-date system records for shipment status, product arrivals, orders, and customer updates.
• Prepare and support reporting related to shipments, orders, and customer accounts.
• Utilize Asana to track orders, outstanding tasks, and internal communications; respond promptly to stakeholder email requests and meet established deadlines.
• Proactively follow up on unresolved tasks daily to help drive fill rate targets and sustain a 99% fill rate across customer accounts.
• Contribute to continuous improvement initiatives related to logistics, order management, and account management processes.

Qualifications:

• High school diploma or GED required.
• Experience in account coordination, customer service, logistics, or supply chain preferred.
• Proficiency in Microsoft Outlook and Word; basic to intermediate skills in Microsoft Excel.
• Experience using Asana or a similar project management platform.
• Strong attention to detail and the ability to manage multiple competing priorities in a fast-paced environment.
• Ability to work onsite with regular, reliable attendance and punctuality; flexibility for schedule changes based on business needs.
• Ability to lift/move up to 50 lbs regularly (up to 100 lbs with assistance or equipment) and work in environments ranging from ambient temperature to approximately -10°F.
• Preferred: Prior experience in logistics, supply chain, or account coordination within a distribution or wholesale environment.
• Familiarity with container/shipment planning processes.
• Experience working cross-functionally with Logistics and Account Management teams.
