Clinical Service Representative II - Psychiatry

Position Summary Scheduled Hours: 40 (full‑time)Job Title: Clinical Office Support (Department of Psychiatry)This position provides essential clinical office support, including patient greeting and registration, appointment scheduling, insurance verification, co‑payment collection, and coordination of medication prior authorizations. Responsibilities Greets patients and assists with form completion. Verifies accuracy of patient’s insurance and demographic information, provides HIPAA and consent‑to‑treat forms, and other necessary clinic forms. Collects co‑pays for services, verifies and balances receipts and payments. Reviews the schedule for new patients and updates as needed. Calls patients to remind them of appointments, confirm insurance information, and obtain referral forms. Schedules return patient appointments and patient testing. Assists patients with insurance questions regarding billing. Assists staff with sending patient appointment reminders and, when appropriate, Zoom links. Answers incoming patient calls and directs them to appropriate personnel. Assists with Epic inbox tasks, including patient messages and refill requests. Assists with processing incoming faxes and shared email folders. Cross‑covers other office staff as needed, including prior authorization requests per office guidelines. Performs other duties as assigned. Working Conditions Normal office environment with exposure to blood‑borne pathogens; requires protective devices. Direct patient care setting. In‑person position with critical attendance commitment. Typical physical effort includes sitting, standing, walking, bending, and occasional lifting of 25 lbs. or less. Uses office equipment and clinical/diagnostic equipment. Required Qualifications Education: High school diploma or equivalent. Certification: Basic Life Support (American Heart Association or American Red Cross; online certifications without a skills assessment are not sufficient). Work Experience: Minimum 2 years in a medical office setting. Skills: Communication, Computer Literacy, Electronic Medical Records (Epic), HIPAA Policies, Insurance, Interpersonal Relationships, Medical Terminology, Office Administration, Payment Collections, Physician Communications, Scheduling, Telephone Communications, Timeliness. Preferred Qualifications No additional education, certifications, or work experience required unless specified elsewhere in the posting. Salary Grade C06‑H: $17.89 – $26.35 per hour.
