Mail Clerk

Job Summary

Provide mail processing and courier services for all City departments. Essential Responsibilities include being the major contact for all mail related questions, interpreting and applying all United States Postal Service regulations, retrieving, sorting and distributing all incoming mail, assisting departments in preparing business reply mailings and UPS shipments, certified mailings, and special handling USPS packages, providing courier services for document recording, delivery of City Council materials and other items as assigned by supervisor, distributing freight shipments and newspapers, maintaining and balancing records of postage accounts, ordering mailroom supplies and preparing statistical reports, maintaining and balancing mailroom credit card account, processing bills from contract mailing services, inventorying paper supplies and providing purchasing with order quantities, maintaining paper supplies at all City photocopiers and offsite locations from inventories, maintaining supply of envelopes, letterhead, requisitions, and other forms, fueling and scheduling maintenance of Mail Services vehicle, maintaining mail services procedures, delivering to off-site locations: Fire Stations, North Kirkland Community Center, Municipal Court, Maintenance Center, Rose Hill Water District Building and 505 Market Street, and preparing and managing mail center budget. Peripheral Responsibilities include scheduling maintenance on mailroom equipment, preparing bills for payment, with USPS employees, accessing information via Web, and interpreting United States Postal Publications and requirements for various types of mailings, and other special projects as assigned.

Knowledge, Skills and Abilities

Ability to read and interpret addresses sufficiently to accurately sort and distribute materials. Ability to maintain records of postage accounts. Ability to anticipate needs of others and communicate in a courteous manner with City staff and the public. Basic computer literacy and experience using a personal computer (Word, Excel, e-mail and Internet preferred). Ability to work with a variety of people and manage multiple tasks. Ability to read and understand procedures. Must be able to provide instructions and directions to individuals. Ability to communicate effectively, both orally and in written form. Ability to work independently and maintain confidentiality of materials handled. Ability to read maps to determine address locations and driving directions.

Qualifications

Minimum Qualifications include the ability to safely operate a van or passenger vehicle, must possess a valid Washington State driver's license, and prior experience with mail handling preferred.

Other

Working Conditions include the ability to move items weighing up to 50 pounds on a daily basis (i.e., boxes of mail, boxes of paper, and odd-sized packages), ability to fuel vehicles, and ability to stand for long periods of time and climb stairs regularly.
