Who We're Looking For We are seeking a highly organized, proactive, and people-focused Recruitment & HR Coordinator to support both talent acquisition and people operations activities across the organization. In this role, you will help deliver an exceptional candidate and employee experience by coordinating recruiting activities, supporting onboarding processes, administering HR documentation, and maintaining critical people systems. You will work closely with the talent acquisition team, hiring managers, candidates, and employees to ensure recruiting and HR operations run efficiently and effectively in a fast-paced, high-growth environment. Where You'll Make an Impact Coordinate candidate interviews across multiple stakeholders and time zones using Microsoft Outlook Manage candidate communications throughout the recruiting process Maintain candidate records, interview feedback, and hiring workflows within Greenhouse Support job posting creation and management across recruiting platforms Assist with resume screening, candidate outreach, and recruiting administration activities Coordinate offer preparation, background screenings, reference checks, and onboarding logistics Support new hire onboarding and orientation activities Prepare, distribute, track, and maintain employment-related documentation, including offer letters, onboarding packets, policy acknowledgments, and personnel records Administer electronic signature workflows utilizing DocuSign and Adobe Acrobat Sign (Adobe Pro) Maintain employee records and HR documentation within BambooHR and related systems Assist with benefits administration and employee inquiries Coordinate employee engagement initiatives, training activities, and company events Generate recruiting and HR reports while maintaining accurate records and data integrity Support compliance, recordkeeping, and HR process improvement initiatives Partner closely with hiring managers and employees to provide exceptional service and support What It Takes 1-3 years of experience in recruiting coordination, HR coordination, talent acquisition, human resources, or a related administrative role Strong organizational skills with exceptional attention to detail and follow-through Experience coordinating interviews, meetings, and calendars using Microsoft Outlook Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint Experience administering electronic signature platforms such as DocuSign and Adobe Acrobat Sign (Adobe Pro) Strong written and verbal communication skills Ability to manage multiple priorities and deadlines in a fast-paced environment Experience handling confidential employee and candidate information with professionalism and discretion Strong problem-solving, administrative, and customer service skills Ability to work onsite at Quantum Space headquarters in Rockville, Maryland Nice-to-Have Experience Experience using Greenhouse or similar Applicant Tracking Systems (ATS) Experience using BambooHR or similar Human Resources Information Systems (HRIS) Experience supporting onboarding, employee lifecycle administration, and personnel record management Familiarity with employment documentation, offer letters, onboarding packets, and compliance-related recordkeeping Experience supporting recruiting and HR functions within a startup, aerospace, defense, technology, or high-growth environment Bachelor's degree in Human Resources, Business Administration, Psychology, Communications, or a related field Experience coordinating employee engagement, training, or company culture initiatives What You'll Get Ownership – Play a key role in building and supporting the talent and people operations infrastructure that powers our mission Impact – Help attract, hire, and support the exceptional talent driving next-generation space technologies Growth – Gain hands‑on experience across both recruiting and human resources while working closely with company leadership Collaboration – Partner with technical and business teams across the organization to support company growth Compensation – Competitive salary, equity, and comprehensive benefits including medical, dental, vision, generous leave, FSA, 401(k) matching, and equity sharing Location Rockville, MD or Hawthorne, CA Base Salary $50,000 to $100,000 The salary range for this role is an estimate based on a wide range of compensation factors. Actual salary offer may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations. Highly competitive equity grants are included in the majority of full time offers; and are considered part of Quantum Space's total compensation package.
