We are seeking a sophisticated and dynamic professional to serve as the "Ambassador of the Practice." In this role, you will orchestrate a seamless, high-end experience for our discerning clientele. The ideal candidate pairs a polished, executive presence with the operational agility required to run a modern, tech-forward medical office.

Key Responsibilities

● Patient Concierge & Experience: Act as the primary face of the clinic. Deliver a warm, boutique-level reception from arrival to departure.

● Administrative Excellence: Manage multi-line communications with executive-level etiquette. Ensure precise messaging and timely follow-ups.

● Schedule Optimization: Coordinate complex calendars across digital platforms (Elation, Spruce, Google Workspace) to maximize physician productivity.

● Financial Stewardship: Manage the direct-pay intake process. Securely process payments and maintain meticulous administrative and financial records.

● Clinical Liaison: Serve as the central communication hub between patients and the clinical team to ensure a cohesive daily flow.

● Service Recovery: Proactively resolve patient inquiries or concerns with diplomacy, discretion, and a solution-oriented mindset.

● Regulatory Compliance: Maintain strict adherence to HIPAA regulations to safeguard patient privacy and data integrity.

Qualifications & Competencies

● Experience: Minimum 1 year in a high-touch service environment (e.g., Med-spa, luxury hospitality, or elite concierge services).

● Sales Aptitude: Experience in retail, luxury sales, or membership-based services is highly preferred.

● Technical Proficiency: Comfortable learning new software. Experience with Google Workspace/MS Office required. Familiarity with modern EHR/EMR platforms preferred.

● Communication Skills: Exceptional verbal and written skills. Ability to engage thoughtfully and confidently with a well-educated clientele.

● Operational Precision: Exceptional attention to detail regarding data entry, medical documentation, and financial transactions.

● Professionalism: Punctual, reliable, and adaptable to a dynamic, forward-thinking clinical setting.
