Payroll Specialist – Remote Locations: Minnesota, Iowa, Nebraska, North Dakota, South Dakota (Remote work allowed). Employees must be located in the listed states and cannot be from the excluded states list. Pay: $70,000–$75,000 per year (based on experience & qualifications). Schedule: Full-time, 40 hours/week, Monday–Friday. Core hours 9:00 am–3:00 pm CST. Flexible start time. Job Summary Under the supervision of the Controller, the Payroll Specialist manages the full payroll process, maintains payroll records, liaises with payroll systems providers and partners in Human Resources, conducts audits of payroll deductions, and ensures compliance with national, state, and local regulations. The role supports the Finance & Accounting department and implements the organization's mission to advance sexual and reproductive health care for all. Benefits and Perks Medical, Dental & Vision Insurance (with equity-based premium tiers) NICE Healthcare virtual primary care for entire household; additional services (labs, X‑rays, tele‑therapy) HealthiestYou virtual care for employees in ND/SD Proximal Health network access; $1,500 tax‑free benefit for designated providers Employee Assistance Program Continued Education Reimbursement (up to $500/year & 2 paid CEU days) Flex Spending Account Life Insurance Federal Student Loan Forgiveness eligibility Paid Time Off (PTO) accrual at 0.05769 per hour; 8 hours volunteer PTO annually 8 paid federal holidays & 2 paid floating holidays 403(b) retirement with employer match (50% of first 6% deferred) 8 weeks paid parental leave Pet Insurance Bereavement Leave Earned Extended Leave Free Headspace App subscription Time off to vote Employee discounts on electronics, appliances, hotels, clothing, cars, fitness memberships, groceries, Office Depot, Verizon, AT&T, Dell, etc. Minimum Qualifications Associate’s degree or equivalent experience Minimum of 2 years experience in multi‑state payroll administration Experience with accounting journal entry preparation Experience with annual audits, payroll filings, and state registrations Strong attention to detail, organizational skills, and knowledge of payroll & benefit principles Excellent written & verbal communication skills Ability to interact with all organizational levels Proficient in Microsoft Excel and HR systems Your Day‑to‑Day Responsibilities Payroll Processing Process biweekly multi‑state payrolls for exempt and non‑exempt employees Coordinate with HR on payroll operations: salaries, benefits, exceptions, court‑ordered deductions, taxes for all services and programs Research and establish new state entries in payroll system, ensuring compliance with state/local requirements Prepare payroll reports for senior management, HR, and finance on a weekly, monthly, quarterly, or year‑end basis Respond to employee payroll queries and resolve issues promptly Provide payroll data for audits and internal control reviews Generate payroll data for Worker’s Compensation renewal and audits Create general ledger entries for payroll and benefits, coordinating with vendors and HR partners Process Systems and Controls Ensure adherence to all governmental reporting and regulatory requirements; establish sound control processes Maintain data integrity and initiate corrective actions with vendors Identify recurring system issues and propose solutions Analyze and recommend process improvements for payroll and benefits administration Approve workflows for direct deposit and W‑4 changes in HRIS Manage workforce management system: resolve issues, review overtime, multiple pay rates, classifications, supervisory signoffs Process payroll changes for hires, terminations, promotions, demotions, raises Generate payroll reports (G/L, earnings, hours, etc.) and provide to departments on request Maintain personnel files related to payroll Identify compliance issues and coordinate corrections Audit payroll files regularly; compile accurate data for annual audits Serve as a customer service point for payroll queries; advise managers on policies Provide training to management on time management system Eligibility Note Remote employees may not be hired from the following states: Alabama, California, Delaware, Indiana, Kentucky, Maryland, Michigan, Missouri, New Jersey, New Mexico, Nevada, New York, Ohio, Oklahoma, Pennsylvania, Texas, Washington, or West Virginia.
