The Estate & Trust Administration Paralegal is often one of the primary points of contact for families following the loss of a loved one. This role requires professionalism, empathy, strong organizational skills, and a commitment to providing exceptional client service during a difficult time.
Position Summary:
The Estate & Trust Administration Paralegal supports attorneys and the Head of the Estate Administration Department in the efficient, accurate, and timely administration of estates and trusts. The role involves client communication, document preparation, case management, and coordination with beneficiaries, fiduciaries, financial institutions, accountants, and government agencies.
We welcome candidates with estate administration experience, as well as individuals with strong administrative, legal, or paralegal backgrounds who are eager to learn and grow within the field.
Responsibilities:
- Assist with the administration of estates and trusts from opening through closing, including the preparation of probate and trust administration documents, notices, affidavits, inventories, accountings, and related filings.
- Coordinate the collection, valuation, transfer, and distribution of estate and trust assets, working closely with fiduciaries, beneficiaries, financial institutions, accountants, appraisers, financial advisors, and other professionals.
- Assist with fiduciary qualification, trust funding, beneficiary distributions, and the preparation of federal estate tax returns, New Jersey inheritance tax returns, and related tax filings under attorney supervision.
- Serve as a primary point of contact for clients, beneficiaries, and fiduciaries, providing professional, compassionate communication, status updates, and assistance throughout the administration process.
- Manage multiple estate and trust administration matters simultaneously, including maintaining calendars, tracking deadlines, monitoring outstanding items, preparing correspondence and reports, and ensuring files and documentation are complete, accurate, and organized.
- Track receipts, disbursements, and supporting financial documentation, assist with the preparation of accountings, and maintain organized electronic and physical client files.
- Proactively identify next steps, follow up on pending matters, and escalate legal questions or sensitive issues to supervising attorneys or paralegals when appropriate.
Qualifications:
- Bachelor's degree, Paralegal Certificate, or equivalent combination of education and experience preferred.
- Prior experience in estate administration, trust administration, probate, legal support, banking, accounting, financial services, or a related field is preferred but not required.
- Strong organizational, time management, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to maintain confidentiality and exercise sound professional judgment.
