More at The Opportunity VideoLabs is seeking a Technical Project Manager to lead the development and implementation of a workflow management system supporting our core internal IP processes (e.g., patent analysis, ranking, case development) and the parallel evaluation of future Asset Management and CRM systems. You'll review and document our internal processes, define base-level system requirements, and guide the company in selecting, implementing, and configuring the most suitable SaaS workflow management system (e.g., Asana, Trello, Wrike) to improve productivity and collaboration. You'll run gap analyses across the company, gather requirements, project-manage the effort end to end, and introduce automation and sustainable new technologies enabling VideoLabs to scale effectively and efficiently as it grows. Responsibilities General Program Management Assess and understand the interdependencies and requirements of the current workflow, project management, CRM, and asset management practices within the organization Research and evaluate various workflow and/or workflow management systems (e.g., Asana, Trello, Wrike, or other options) based on business needs Test and choose appropriate CRM, workflow management, and asset management vendors for the company based on the business size, type, and growth trajectory Select and implement the most appropriate workflow management system to help each team and overall company with prioritization and visibility Design and document workflows that align with the company's objectives Collaborate with various teams to ensure successful adoption and integration of the chosen system Train employees on how to use the new workflow management system and follow established workflows Optimize workflow management processes to increase efficiency and effectiveness Produce reports and metrics to track project progress and evaluate the system's impact Create self-sustaining data dashboards that help ICs and leadership yield valuable insights Technical Project Management Proactively identify risks and roadblocks, and manage escalations related to scope, budget, timeline, or quality Manage vendor contracts, statements of work, and procurement activities for selected systems Coordinate resources and staffing across multiple concurrent initiatives, tracking capacity constraints Serve as the key liaison between business stakeholders, technical teams, and external vendors, translating business priorities into clear system requirements Ensure new tools and workflows meet the company's data-security and confidentiality standards, appropriate for a fast-moving technology organization Qualifications Proven experience as a Technical Project Manager and/or consultant, specifically in developing, implementing, and configuring workflow and/or project management systems Deep familiarity with workflow management tools such as Asana, Trello, or similar systems, and practical work experience (on behalf of clients or your company) developing and configuring unique workflows within leading SaaS-based workflow management systems Experience working within an iterative development environment (Agile, Scrum, etc.) required Expertise in workflow design and process improvement CRM expertise particularly for small high-tech businesses Vendor management experience Ability to organize information quickly and at a high level to address potential roadblocks and define the best way forward Excellent communication and teamwork abilities Self-motivated, detail-oriented, and able to work independently Time management and multitasking abilities Comfortable working with tight deadlines Experience with data management, democratization, and creating self-sustaining, relevant datasets and dashboards 5-8+ years of experience in Technical Project Management or technology/product delivery roles Bachelor's degree in computer science, Engineering, Business, or a related technical field, or demonstrated equivalent industry experience Working knowledge of Waterfall and hybrid delivery methodologies, and common technical collaboration tools such as Jira, Confluence, and Smartsheet Strong business-requirements analysis skills, with experience translating business priorities into technical specifications Comfortable managing external vendor and tooling contracts, procurement, and cross-functional rollout processes #J-18808-Ljbffr Videolabs
