Job Description We are seeking an IT Project Manager III to support executive leaders and the San Francisco site with agile coordination and high-quality administrative operations. The ideal candidate will have strong experience with executive calendaring, travel and expense platforms, and agile tools such as Jira, and a proven ability to drive organized, timely outcomes across complex, fast-paced environments. This role requires in-person work a minimum of three days per week and will start in November. Sponsorship is not available now or in the future. Responsibilities Manage intensive daily executive calendars, meetings, telepresence, conference rooms, and logistics. Screen and respond to meeting requests and emails. Proactively forward and follow up as appropriate. Prepare executives for meetings with daily briefs and organized materials and documents. Arrange complex, frequently changing travel plans and itineraries in Concur. Process expenses in Concur and Workday with accuracy and timeliness. Support various administrative needs of the leadership team and collaborate with the Business Support Manager/COO. Coordinate global team routines, events, activities, and communications. Order supplies, manage access requests, and maintain accurate records. Plan, schedule, and coordinate team events and outings. Onboarding and Employee Engagement Support:Execute plans for large team relocations and ensure equipment readiness. Serve as a resource for new hires to build engagement and a positive experience. Order and track equipment. Maintain equipment backlog. Organize and maintain workstations, conference rooms, copy rooms, and breakrooms. Audit and improve onboarding processes for efficiency and value. Collaborate with Administrative Assistants across locations for consistent processes. Required Skills & Qualifications Proficiency with Agile tools, particularly Jira. Advanced skills with MS Office Suite, including Outlook, Word, Excel, and PowerPoint. Experience with Concur and Workday for travel and expense processing. Prior experience as a Senior Administrative Assistant supporting senior executives. Demonstrated ability to interact with senior-level executives and their support staff with discretion and professionalism. Ability to work autonomously within a complex organizational structure and prioritize multiple tasks in a deadline-driven environment. Strong organizational skills, attention to detail, and quality focus. High integrity handling confidential and sensitive information. Effective interpersonal communication and executive presence with a proactive, positive approach. Preferred Skills Experience coordinating hybrid onsite schedules and in-person events. Background supporting employee engagement and site operations. Additional Details Approved location: San Francisco, CA. Hybrid schedule with a minimum of three days onsite per week.
