The Opportunity
JSMM INC. is seeking an experienced Insurance Claims Coordinator and Office Administrator to manage property claims documentation, financial record-keeping, and core office operations.
In this pivotal operational role, you will serve as the administrative backbone for our residential and commercial construction divisions. You will manage high-volume insurance claim workflows, coordinate directly with carriers and adjusters, maintain precise bookkeeping records, and ensure all project documentation remains audit-ready. If you bring a strong background in insurance claims processing, financial organization, and construction administration, this position offers stable hourly pay and a collaborative, supportive team culture.
Key Responsibilities
- Insurance Claims Management: Oversee, organize, and track property insurance claim documentation to ensure complete, accurate files for adjuster review and timely approval.
- Carrier and Adjuster Communication: Execute professional correspondence with insurance carriers, claims adjusters, subcontractors, and property owners to maintain project momentum.
- Bookkeeping and Financial Tracking: Maintain accurate bookkeeping records, track project expenses, manage accounts payable/receivable, and support financial reporting.
- Audit Readiness and Document Control: Organize digital and physical project files in accordance with industry standards to ensure full audit readiness across all claims.
- Administrative Operations: Streamline daily office workflows, manage filing systems, and optimize data retrieval speeds to support leadership and field teams.
- Executive Reporting: Assist senior leadership with specialized reporting, data entry, and file tracking during high-volume insurance claim cycles.
What You Need to Succeed (Qualifications)
Required
- Mandatory Insurance Claims Experience: Proven, hands-on experience navigating insurance claims and working directly with the property insurance claims process.
- Administrative Tenure: Minimum 5 years of dedicated experience in an office management, claims administration, or senior administrative role.
- Bookkeeping Competency: Strong proficiency in bookkeeping, financial record-keeping, and job-cost tracking.
- Detail Accuracy: Exceptional organizational skills with a strong focus on compliance, accuracy, and audit-ready document management.
Preferred
- Industry Background: Prior experience working within general construction, roofing, or property restoration sectors.
- Software Competency: Proficiency in specialized bookkeeping tools (e.g., QuickBooks) and insurance estimating/claims software.
- Educational Foundation: Bachelor's Degree or equivalent professional experience in business administration or finance.
