Role Overview

We are seeking a dependable, organized, and professional Office Assistant to join our team. In this role, you will be the first point of contact for our firm, handling client interactions and supporting our daily operations.

This position starts at approximately 30 hours per week , with clear potential to transition into a full-time role based on performance, progress, and firm needs.

Key Responsibilities

• Greet clients, visitors, and guests with a welcoming, professional demeanor.
• Answer, screen, and route incoming phone calls while taking accurate, timely messages.
• Assist clients with basic intake forms, meeting check-ins, and general inquiries.
• Maintain front-office cleanliness, conference rooms, and reception areas.
• Organize, scan, copy, and file physical and electronic documents.
• Sort and distribute incoming mail, deliveries, and outgoing correspondence.
• Support attorneys and legal staff with general administrative tasks as needed.

Qualifications

• Previous office, receptionist, or customer service experience (law firm experience is a plus, but not required).
• Bilingual (English/Spanish) strongly preferred.
• Strong verbal and written communication skills.
• Professional appearance, phone etiquette, and active listening skills.
• High level of dependability, discretion, and respect for client confidentiality.
• Proficiency with standard office software (email, Word, document management) and office equipment.
• Motivated to learn legal administrative workflows and take on increasing responsibility over time.
