Position Highlights Position: Department Support Assistant III Location: Naperville, IL Full Time: 40 hours per week Hours: Monday-Friday, 8:00a-4:30p with rotating weekends Required Travel: to Elmhurst Hospital as needed A Brief Overview The Department Support Assistant III will provide advanced administrative and operational support to the department and play a critical role in ensuring its efficient and successful operation. This position is ideal for individuals with a strong background in administrative support, project management, and leadership. What You Will Do Provide comprehensive administrative support to the department, including managing correspondence, phone calls, and departmental records. Coordinate and oversee departmental meetings, conferences, and events, including scheduling, logistics, and material preparation. Maintain and update data in spreadsheets, databases, and electronic systems with precision. Generate and compile complex reports, presentations, and documents for the department, ensuring data accuracy and relevance. Act as the primary point of contact for departmental inquiries and provide exceptional customer service to all stakeholders. Manage office supplies and equipment, including ordering, maintaining adequate stock levels, and tracking budgets and expenses. Organize and maintain departmental records, files, and documents, implementing efficient and accessible filing systems. Take responsibility for scheduling complex appointments, meetings, and conference calls for department members and department heads. Lead and support department-specific projects and initiatives, conducting research, data analysis, and providing presentations to department leadership. Contribute to the development, implementation, and monitoring of administrative strategies and policies, under the guidance of the department head. Provide guidance and mentorship to lower-level administrative staff, fostering their professional growth and development. Assist in the training and onboarding of new administrative team members. What You Will Need Bachelors Degree Required Masters Degree Preferred 7+ Years administrative experience, with demonstrated expertise in a healthcare or hospital setting preferred.
