Dual Role Patient Services Representative (PSR) / Cosmetic Coordinator

Location: VitalSkin Dermatology

Employment Type: Full-Time

M-F 7:30a-4:30p with one evening until 6:30p. Close early on Fridays. Currently no weekends @ $23.00-$26.00

Position Overview

We are seeking a motivated and personable individual to join our team in a dual role as a Patient Services Representative (PSR) and Cosmetic Coordinator. This position plays a key role in both front-office operations and the growth of our cosmetic services. The ideal candidate is organized, customer-service driven, and passionate about helping patients feel confident in their skin.

For the first few months, this role will primarily function as a Patient Services Representative (PSR) while our office undergoes construction updates. Once construction is completed and our cosmetic space is fully operational, the Cosmetic Coordinator responsibilities will be implemented, transitioning the position into the full dual role.

Key Responsibilities

Patient Services Representative

• Greet and check in patients in a friendly and professional manner
• Schedule and confirm patient appointments
• Verify insurance and collect co-pays and balances
• Answer phone calls and respond to patient inquiries
• Maintain accurate patient records in the electronic medical record system
• Ensure a smooth and positive patient experience from check-in to check-out
• Keep the front office area clean, organized, and welcoming for patients

Cosmetic Coordinator

• Educate patients on cosmetic services, treatment options, and products
• Coordinate cosmetic consultations and treatment schedules
• Provide treatment quotes and discuss packages or promotions in coordination with the provider
• Assist the provider during cosmetic visits and with documentation of treatments
• Support providers with cosmetic patient follow-up and communication
• Help promote cosmetic services through patient engagement and in-office initiatives
• Assist with tracking, organizing, and maintaining cosmetic and product inventory to ensure adequate stock levels

Qualifications

• Previous experience in aesthetics, dermatology, plastic surgery, or medical spa setting preferred.
• Strong knowledge of cosmetic procedures, skincare products, and laser treatments.
• Excellent communication and interpersonal skills with a patient-centered approach.
• Sales experience with a proven ability to meet or exceed goals.
• Proficiency with VISIA or similar skin analysis systems preferred.
• Ability to multitask in a fast-paced environment while maintaining attention to detail.
• Experience with EMR systems preferred (ModMed experience a plus)
