Partners with leaders to develop organizational plans, establish deadlines, and implement key activities. May be responsible for office management, and liaising with internal and external stakeholders with whom they collaborate on projects. Job Description Penn Health-Tech (PHT), the University of Pennsylvania’s central hub for health technology innovation, is looking for a Program Coordinator to join our team and our mission to empower innovators and to advance health care solutions. Since 2017, has served as an engine for translating discoveries into high-impact health technologies, accelerating the path from academic innovation to real-world impact. PHT supports and delivers programs to clinicians, engineers, and researchers across the innovation ecosystem to accelerate the development of transformative healthcare solutions through funding, mentorship, and education. PHT has four strategic priorities: (1) Advance health technology innovation by focusing on identifying, supporting, and accelerating promising health technology innovations from Penn and the Children’s Hospital of Philadelphia (CHOP). (2) Develop health technology innovators by equipping faculty, trainees, students, and emerging operators with the knowledge, skills, and experiences needed to advance healthcare innovation. (3) Strengthen the innovation ecosystem by cultivating relationships, partnerships, and community engagement and demonstrating thought leadership in order to accelerate innovation and increase Penn Health-Tech’s visibility and impact. (4) Build organizational infrastructure for sustainable growth by developing the people, processes, systems, and resources required to support Penn Health-Tech’s continued growth and long-term impact. The Program Coordinator serves as the operational backbone of PHT's programming, supporting the planning, execution, and follow-up of activities across the PHT's portfolio of programs and events. In this capacity, the Program Coordinator manages logistics for recurring programs and events, handles outreach and scheduling with speakers and advisors, supports applicant-facing processes for recruitment and the Call for Proposals cycle, and collects and organizes data across programs to support annual reporting. This role requires strong organizational skills, genuine interest in healthcare innovation, and the ability to work independently and proactively in a fast-paced, entrepreneurial environment. The position works closely with the Associate Director of Education and Operations and Penn Health-Tech staff to contribute to consistent delivery of healthcare innovation initiatives and events across PHT, Penn, CHOP, and other partner organizations, and supports PHT’s mission. Job Responsibilities Manage and execute program logistics and operations for Penn Health-Tech's (PHT) education programs and community engagement events, including Health Tech Huddles, Commercialization Boot Camp, and our annual Demo Day. Responsibilities include scheduling, space and catering arrangements, speaker and stakeholder coordination, managing program records, tracking budgets, and supporting marketing and promotion for programs and events. Support the Health Tech Accelerator Call for Proposals by overseeing applicant communications, interview scheduling, pitch day logistics, and funding decision notifications. Advance the sustainability of PHT programming and events through community building and partnership with PHT faculty and staff. Develop SOPs and roadmaps to support smooth program execution and scalability. Establish and cultivate relationships across campus and the regional ecosystem to support Penn Health-Tech programs. Serve as the primary point of contact for PHT programs and events, responding to questions from students, faculty, advisors, and partners and ensuring timely follow-up and coordination. Drive administrative operations for PHT, including overseeing confidentiality agreements (CDAs), taking notes at meetings, preparing documentation, screening and responding to shared PHT inboxes, and maintaining periodic updates to website content. Manage financial transactions for Health Tech Accelerator awards and other PHT programming, including submitting purchase orders. Track each order to completion to ensure timely and accurate processing. Order and maintain office and event supplies for day-to-day PHT operations and program needs. Prepare and coordinate data management for programs and events by collecting and consolidating program data (e.g., surveys) to track progress against key performance indicators (KPIs). Monitor trends and support accurate, timely reporting to leadership and stakeholders. Manage materials and data requests that support strategic decision-making. Maintain databases of program participants, alumni, and external partners. Required Qualifications Bachelor's degree and 3-5 years of experience, or an equivalent combination of education and experience required. Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines in a fast-paced, dynamic environment. Excellent communication skills, both written and verbal, with demonstrated ability to communicate professionally with students, faculty, senior leaders, and external partners. Demonstrated ability to work independently, exercise sound judgment, and collaborate effectively with diverse stakeholders. Strong attention to detail and ability to maintain accurate records and documentation. High proficiency with Google Workspace; willingness to learn additional systems (e.g., Monday.com, Airtable, survey platforms). Interest in healthcare innovation, entrepreneurship, or academic program administration. Preferred Qualifications Experience working in higher education, program operations, entrepreneurship centers, accelerators, or healthcare innovation programs. Familiarity with clinical environments or health technology commercialization pathways. Experience coordinating multi-stakeholder programs involving faculty, students, alumni, and external experts. Job Location - City, State Philadelphia, Pennsylvania Working Conditions & Additional Information Position is based on-site in Philadelphia with hybrid flexibility Occasional early morning or evening hours may be required for events. Some light physical activity may be involved in event setup or materials preparation. This position is contingent on continued funding. Department / School Perelman School of Medicine Pay Range $65,628.00 - $67,000.00 Annual Rate Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job’s level.
