Project Administrator I (Mission Critical)

Requirements Project Administrator I is responsible for the efficient operation of the job site office and administrative tasks. This position works closely with Project Managers, Superintendents, and Subcontractors to ensure all paperwork, correspondence, and other administrative tasks are answered and/or directed at the correct establishment to guarantee the project’s acceptance from beginning to completion. Mission Critical construction is fast, demanding, and high pressure by nature. That pressure must be something you love. Motivation is not optional. The person in this role will execute daily responsibilities while learning the business, gaining direct leadership exposure, and being pushed to become their best self. Essential Job Functions Record payroll information and daily hours, including any certified payroll requirements. Assist project team with the following processes: RFI’s, punch list, submittals, closeout (i.e., assembling O&M manuals) Monthly pay applications and invoices Assist with purchase order creation and issuance Entering data (i.e., Daily Reports) into the PM system(s) Attend and record job site meetings and distribute meeting minutes to attendees Maintain a professional project image through clean documentation, clear communication, and consistent brand representation Manage the office functions at the jobsite trailer Assist with the maintenance of as-built drawings Maintain current and correct certificates of insurance Maintain current and correct subcontract/purchase order logs Miscellaneous typing/copying for project team Distribution, tracking, and filing of all forms, correspondence, etc., as necessary Serves as the primary point of contact for Subcontractors, Vendors, Project Site Team, and Accounting Perform other duties as assigned.
