Acquisitions Assistant

Wilmette Public Library is looking for an exceptionally organized individual who is adept at maintaining accuracy while prioritizing a variety of multiple, detail-oriented tasks in a fast-paced environment. Reporting to the Technical Services Manager, the Acquisitions Assistant is responsible for the technical and administrative tasks related to the acquisition and processing of library materials including books and audiovisual materials. Ordering: Creates on-order item records in the integrated library system (ILS) database by importing or manually creating temporary bibliographic information. Maintains order records over time, informing selectors of any cancellations or changes. Maintains current and accurate digital and paper files, including but is not limited to automatic shipments, standing order files, patron requests, and purchase orders. Receiving: Opens deliveries and checks against packing lists to ensure accurate shipment and receipt of all library materials. Distributes received materials to appropriate staff. Accounts Payable: Performs accounts payable duties related to the department. Creates invoices in the ILS. Approves and submits invoices to the Finance Department with proper fund account information, and notifies appropriate staff of vendor changes. Vendor Relations: Works with multiple vendors to order items electronically or manually based on selector requests, price, availability, and formats. Communicates and collaborates with vendors and staff as needed. Patron service: Reviews weekly Holds Report, locates items with holds and moves those items up in the workflow for most expedient processing to deliver to patrons as soon as possible. Updates location and circulation parameters for item codes changing from “new” to regularly circulating items. Processing: Processes audiovisual materials and other formats as assigned. Performs material maintenance, which includes analyzing a problem and determining the best maintenance technique and supplies to use. Qualifications & Skills High School Diploma/GED. Bachelor’s Degree preferred. Two years Technical Service experience preferred. Experience with Polaris Integrated Library System is preferred. Ability to demonstrate proficient and efficient use of the Integrated Library System (ILS). Ability to demonstrate proficient use of Microsoft Suite products (i.e. Outlook, Word, Teams, etc.) Ability to demonstrate exemplary attention to detail, and accuracy in work. Ability to work independently while also working collaboratively in a team setting. Ability to prioritize tasks and make good judgments in completing tasks. This is a part-time, non-exempt position scheduled for 25 hours per week Mon. – Fri, divided between 5, 5-hour day shifts: (i.e 9:00am – 2:00pm, 10:00am – 3:00pm, 11:00am – 4:00pm) Starting hourly hiring range: $18.09 - $20.35. Eligible for PTO through the IL Paid Leave for All Worker’s Act, and pro-rated sick time and holiday time based on hours worked in previous year. Eligible for participation in Illinois Municipal Retirement Fund (IMRF), the Library’s pension plan as well as the Library’s voluntary 457 plan.
