PROGRAM COORDINATOR Position overview: Responsible for comprehensive administrative support and coordination across the Capacity Building Team, ensuring efficient operations, documentation, and project execution. Strong organizational and interpersonal skills are essential for coordinating across teams, preparing correspondence, and maintaining documentation. Primary Duties And Responsibilities Administration Schedule meetings and manage agendas, minutes, and action items Process invoices and reimbursements in a timely manner Develop an understanding of programmatic areas to improve administrative processes Edit and proofread outgoing correspondence Maintain and update relevant files and documents Identify opportunities for process improvements Engage in professional development activities Program Coordination Coordinate teleconferences, meetings, trainings, and events Support BHW projects: update project plans, stakeholder matrix, and communication materials Assist the Monitoring, Evaluation, and Learning team with data collection, analysis, and reporting Evaluate technical assistance subcontractors and grantees Track and verify data submissions, perform quality checks, and provide feedback Maintain grant and subcontractor contact information Create and manage a document library Proactively communicate with subject matter experts, funders, and partners Produce content for newsletters and partner communications Support proposal and business development efforts as needed Facilitate meetings and participate in training sessions and staff meetings Training and Technical Assistance Facilitation and Coordination Obtain and manage Youth and Adult Mental Health First Aid certifications and conduct trainings Organize community trainings: develop marketing materials, schedule instructors, register participants, and ensure venue and equipment readiness Maintain relationships with key constituents and community stakeholders Respond to training and technical assistance inquiries Build capacity of internal instructors through webinars, observations, and mentorship Ensure training fidelity and provide constructive feedback Create and analyze MHFA training satisfaction surveys Position Requirements Bachelor’s degree in public health, social sciences, or equivalent education and experience 1–3 years of experience in customer service, administrative support, and/or project coordination Strong interpersonal and relationship‑building skills with diverse populations Excellent organizational skills and self‑starter attitude Skills, Knowledge, and Abilities Collaborate effectively with internal and external partners Demonstrated emotional intelligence and sensitivity to diverse backgrounds Ability to manage multiple complex projects simultaneously Rapid learning of new subject areas Change management and solution‑oriented mindset Communicative: written and oral skills Proficient with Microsoft Teams, Zoom, and virtual meeting tools Creativity in designing communication materials (e.g., Canva) Impact at LPHI The coordinator supports organizational effectiveness, aligning work with LPHI’s mission to promote health equity and strengthen partnerships.
