We're looking for a dependable, organized, and friendly Front Desk Coordinator to become the face of our office. We believe in promoting from within, and this role has the potential to grow into a Legal Assistant position for the right person. What You'll Do As our Front Desk Coordinator, you'll play a vital role in keeping our office running smoothly while ensuring every client receives exceptional service. Daily Responsibilities Welcome clients and visitors with professionalism and compassion. Escort clients to meeting rooms and notify attorneys of their arrival. Offer beverages or snacks to clients during appointments. Answer and direct incoming phone calls. Schedule consultations and appointments. Send court reminder text messages to clients scheduled for court the following day. Follow up with clients who are late for appointments. Accept client payments and accurately post them into Clio. Process incoming and outgoing mail. Schedule weekly attorney jail visits. Assist with creating deposition cover sheets and uploading deposition audio files. Complete our Close Case SOP for resolved matters. Maintain a clean, organized, and welcoming reception area and office throughout the week (professional cleaning service visits weekly). Stock beverages, snacks, and office supplies while maintaining inventory lists for weekly ordering. Monitor the office for maintenance issues and communicate needed repairs to management. Assist with seasonal decorations and maintaining a warm, professional lobby presentation. Request Google reviews from satisfied clients and assist with follow-up communications. Perform additional administrative duties to support attorneys and staff.
