Operations Manager

The Operations Manager is responsible for overseeing the Facilities and the Reception teams. In addition to supervising these teams, the Operations Manager will assist with overseeing the firm’s travel program and with office moves. This position works closely with the Operations Chief and the Director of Operations. SUPERVISORY RESPONSIBILITIES When appropriate, assists with recruiting, interviewing, hiring, and training new staff in the department Oversees the daily workflow of team members Provides staff with constructive and timely performance feedback and evaluations Handles disciplinary process, including escalating employment matters to the head of the department and the Senior Director of Human Resources when necessary Provides leadership and mentoring to staff, including on-going performance management, feedback and coaching, identification of training opportunities, and preparation of career development plans OTHER RESPONSIBILITIES/ESSENTIAL FUNCTIONS Supervises the Facilities and Reception staff and provides guidance and mentoring Conducts one-on-one meetings with the department team members and holds annual evaluation meetings Serves as liaison with Building Management and firm vendors to coordinate daily cleaning and maintenance of all office space, carpet cleaning, special cleaning and other contracted services Acts as a liaison to all repair, maintenance, construction, and mechanical contractors and assists with contract negotiations as needed Coordinates all professional staff office and workstation moves Assists with managing the security and safety of the firm and its employees by acting as contact for the property security system Oversees and maintains the firm’s visitor and hoteling office process Coordinates with security guard contractor to schedule the Wiley dedicated lobby Receptionist and support ongoing training Serves as point of contact for the firm’s outsourced travel program Attends weekly Operations meetings and quarterly Operations Managers meetings Coordinates with Meeting and Events department for conference room set ups executed by Facilities team Oversees the firm’s emergency preparedness and response efforts, including procedures, first aid and life safety supplies, vendor coordination, and firmwide communication of emergency protocols to ensure readiness Assists with the development and implementation of process improvements and technology within the Facilities and Reception departments Provides leadership coverage and operational decision-making support during emergencies, business disruptions, and after-hours incidents Share building related communication firm-wide as needed KNOWLEDGE, SKILLS, AND ABILITIES The ability to communicate professionally and effectively, both in oral and written form The ability to multi-task, prioritize/coordinate deadlines and track progress of tasks Ability to organize workflow and use time efficiently Ability to demonstrate attention to detail and accuracy Ability to effectively manage shifting priorities and competing deadlines Must establish and maintain effective working relationships in or out of a team environment Understands and adopts the organizational structure Possesses the attitude of collaboration and sharing Willingness to learn and adopt new methodologies Must maintain confidentiality of work-related information and materials Flexibility and willingness to respond to issues during and outside of core business hours EDUCATION AND EXPERIENCE Associate or Bachelor’s Degree required 3+ years of professional work experience in facilities or operations management and supervisory experience in a professional environment required WORK ENVIRONMENT An on-site presence is an essential function of this position. Remote work may be permitted in accordance with the firm’s flexible work policy and based on business needs Position operates in a professional office environment which is usually quiet to moderate Position routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets Position requires that the employee be able to multi-task in a fast-paced work environment PHYSICAL DEMANDS While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations and the ability to stand, walk, stoop, kneel, and crouch; requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read information; frequently required to sit, reach with hands and arms, talk, and hear Ability to carry or lift items weighing up to 20 pounds OTHER DUTIES AND EXPECTATIONS Meets the department’s expectations to retrieve, read and/or respond to firm and client-related e‑mail messages during and outside of core business and scheduled work hours by connecting a personal mobile device (smartphone or tablet with a data plan) to the firm’s network This description outlines the basic requirements of this position; it is not intended to be a complete description as other duties may be assigned The base salary for this position is $120,000 - $125,000 annually. Actual salary will be determined based on skills, experience (to the extent relevant) and other job-related factors, consistent with applicable law.
