Recruiting Operations Coordinator

Black Bear Talent is seeking a part-time Recruiting Operations Coordinator. This position is a key part of our day-to-day office operations and serves as an important connection between our candidates, new hires, clients, hiring managers, Recruiters, and Sales team. The role combines front-office responsibilities, recruiting support, and new-hire onboarding . The ideal candidate will have some experience in recruiting, talent acquisition, candidate coordination, or a similar environment, along with a consistent work history and a strong ability to stay organized and follow through. This is not a full-cycle recruiting position . Rather, this person will work alongside our Recruiters and Sales team to help keep candidates and new hires moving through the process and ensure the details are handled accurately and on time.

This position will start as a part time temp position with the possibility of going full-time in the Spring of 2027.

Hours: Monday through Friday, 9:00 AM to 3:00 PM

Job Responsibilities

• Answer incoming telephone calls in a professional and courteous manner and directs calls appropriately.
• Greet and assist walk-in visitors
• Transfer calls to the appropriate individual
• Take accurate messages and ensure they are communicated promptly
• Scan and electronically organize documents
• Assist with general administrative and clerical duties including I9 documentation, onboarding, processing pre-employment background and drug screens, other durties as assigned
• Maintain organized files and records
• Provide support to the office team as needed
• Handle confidential information appropriately
• Maintain a professional and positive work environment

Qualifications

• 5 or more years previous Administrative Assistant experience required
• Strong verbal and written communication skills
• Ability to multitask a prioritize job responsibilities
• Professional telephone etiquette
• Strong computer skills
• Strong attention to detail and accuracy
• Ability to stay organized and manage multiple tasks
• Professional appearance and demeanor
• Must pass pre-employment drug screen and background check
