Insurance Defense Legal Secretary

Location: White Plains, NY
Schedule: Full-Time, Monday–Friday, 9:00 AM–6:00 PM
Work Arrangement: Fully in-office; remote/hybrid work is not available
Salary: $70,000–$80,000 annually, commensurate with experience

Position Overview

We are seeking an experienced Insurance Defense Legal Secretary to support attorneys in a busy litigation practice. The ideal candidate will have hands-on experience supporting insurance defense matters , preparing and formatting litigation documents, and filing documents electronically through NYSCEF and PACER .

This position requires exceptional attention to detail, strong organizational skills, and a thorough understanding of legal terminology, court filing procedures, and litigation documentation.

Key Responsibilities

• Provide administrative and clerical support to attorneys handling insurance defense litigation.
• Prepare, format, revise, proofread, and reconcile legal documents, including motions, briefs, pleadings, and correspondence.
• Electronically file legal documents with New York State and Federal Courts through NYSCEF and PACER .
• Ensure filings comply with applicable court formatting and procedural requirements.
• Maintain organized electronic and physical case files and document management systems.
• Proofread legal documents for accuracy, formatting, completeness, and consistency.
• Assist with redaction of confidential and personal information in accordance with court requirements.
• Enter and maintain accurate case and client information in firm databases and case management systems.
• Manage multiple Outlook inboxes and calendars and coordinate attorney communications.
• Assist with document conversion, formatting, and preparation of electronic filings.
• Handle general correspondence and provide additional administrative support as needed.

Qualifications

• 3+ years of legal secretary experience, preferably in insurance defense or civil litigation.
• Direct experience supporting insurance defense attorneys is required.
• Hands-on experience with NYSCEF and PACER electronic filing systems.
• Strong knowledge of legal terminology, litigation procedures, and court filing requirements.
• Experience preparing and formatting pleadings, motions, briefs, and other litigation documents.
• Excellent proofreading and document-editing skills with exceptional attention to detail.
• Proficiency with Microsoft Office, Outlook, and legal document management systems.
• Ability to manage multiple priorities and deadlines in a fast-paced legal environment.
• Strong written and verbal communication skills.
• Ability to work independently while collaborating effectively with attorneys and staff.
• Experience managing multiple Outlook inboxes and calendars.
