Position Overview
The Part-Time Administrative Assistant provides administrative and operational support to NIDC's Finance & Administration Department. This position supports day-to-day office operations, financial and HR administrative tasks, document management, purchasing, and organizational projects, while helping ensure the department runs efficiently.
This is an excellent opportunity for someone who is organized, dependable, customer-service oriented, and enjoys working in a collaborative nonprofit environment.
Duties and Responsibilities
Administrative Support
- Provide administrative support to the Finance & Administration team.
- Answer phones, greet visitors, and direct inquiries appropriately.
- Manage incoming and outgoing mail, packages, and deliveries.
- Schedule meetings, prepare agendas, and take meeting notes as needed.
- Maintain electronic and paper filing systems.
- Draft correspondence, reports, forms, and other documents.
- Order and maintain office and program supplies.
Finance Support
- Assist with invoice processing and document collection.
- Organize receipts, contracts, and financial documentation.
- Prepare deposits and assist with financial recordkeeping.
- Maintain confidential financial files.
- Support audit preparation and grant documentation.
Human Resources & Administration
- Assist with onboarding paperwork and personnel files.
- Help maintain employee records and compliance documentation.
- Support recruitment logistics including scheduling interviews.
- Assist with staff trainings, meetings, and organizational events.
Office Operations
- Coordinate vendors and office maintenance requests.
- Track office inventory and equipment.
- Assist with technology and office setup for new employees.
- Help maintain organizational calendars and administrative systems.
- Support special projects as assigned.
- Answer the main phone line, monitor the general NIDC email inbox, and assist with office guests.
Key Qualifications
Required
- High school diploma or equivalent.
- Minimum of two years of administrative experience.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to prioritize multiple tasks and meet deadlines.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong customer service and interpersonal skills.
Preferred
- Associate's or Bachelor's degree.
- Experience working in a nonprofit organization.
- Familiarity with QuickBooks or other accounting software.
- Experience with HR or finance administrative functions.
- Experience using Google Workspace, SharePoint, or similar platforms.
