Job Description This position is based in the Firm’s Redwood Shores office l and provides our attorneys and clients with a superior level of technical and administrative support. Essential job functions include calendar management, coordinating travel, meetings and conference calls, heavy phone work and client interaction. Occasional support to the San Francisco office is expected as part of backup coverage and business needs.

Primary Responsibilities and/or Essential functions: Provide attorneys with administrative support including, calendar and contact management; event and meeting planning; travel; time entry; opening new client matters; assist with billing and prepare expense reports. Maintain complex and detailed calendars and prioritize meeting requests and related logistics. Handle a high volume of phone calls, ensure messages are delivered promptly, accurately and according to attorney preferences. Coordinate complex, senior-level internal/external meetings and conference calls. Coordinate a high volume of domestic and international travel arrangements and process business requests. Welcome clients who visit the Firm; interact with clients, attorneys and internal staff in a professional and courteous manner. Respond to and follow up on client requests while establishing and maintaining positive business relationships with clients. Utilize Firm-supported software/hardware to assist attorneys with all phases of document production for legal documents, spreadsheets and presentations including creating, drafting, editing, formatting, printing, proofreading, converting and photocopying. Enter attorney’s time via the Firm’s 3E system. Conduct internet research as directed by attorneys. Establish and maintain paper and electronic files. Prioritize work; complete tasks with minimal supervision; serve as a liaison for civic/charitable organizations. Work overtime as requested. Any additional responsibilities as required by management. Knowledge, Skills & Abilities: 5+ years of experience in a support capacity within a law firm, other legal or similar environment. Ability to maintain confidentiality. Strong initiative; ability to exercise sound judgment, work independently and make decisions on behalf of attorneys. Excellent interpersonal skills; has the ability to work with different personalities in high-pressure situations. Strong administrative and organizational skills; ability to prioritize tasks and juggle multiple priorities. Excellent written and oral presentation skills; strong attention to detail. Team player; work well under pressure. Knowledge of Big Law or legal highly preferred. Demonstrate proficiency in all basic, advanced and legal specific applications. Demonstrate desire and ability to learn new technology and willingness to share knowledge to assist others. Ability to produce high-quality documents that are spelled checked and proofread. Self-starter who can manage competing priorities. Education/Certifications: College degree preferred. Estimated hourly rate is $57.69- $68.68 ($105,000 - $125,000 annually). This position is overtime and bonus eligible. Compensation decisions within the range are dependent on the facts and circumstances of each case including but not limited to the individual's skills, experience, and qualifications.
