AP Administrator

Job Full Description

We are seeking an Accounts Payable (AP) Administrator for a manufacturing company in Ayer, MA. This role is responsible for managing the accounts payable process, including invoice processing, vendor payments, communication, and record security, while ensuring adherence to company policies and providing support for internal and external inquiries.

Responsibilities:

• Completes the accounts payable cycle accurately and timely.
• Processes vendor invoices, including organizing, coding, vouchering, and payments.
• Manages cash flow by ensuring timely vendor payments and utilizing discounts.
• Coordinates the payment approval process with management.
• Handles payments through checks, ACHs, and wires.
• Maintains professional vendor relationships and updates contact lists.
• Manages AP mailboxes and tracks deposits and payments on POs.
• Assists in preparing monthly accruals and reconciliations.
• Manages employee expense reporting and provides support for online systems.
• Coordinates billing, repayment with affiliate companies, and reconciles intercompany balances.
• Assists with vendor and customer correspondence regarding invoices and payments.
• Secures sensitive cash transactions and enforces company policies.
• Maximizes internal controls during payment and cash processes.

Requirements:

• High School Diploma or Equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or related field preferred
• Minimum of 3 years of experience in accounts payable or related role required
• Experience with QuickBooks Desktop required
• Strong skills in MS platform (Excel, Word, SharePoint) required
• Experience with ERP systems preferred
