Planned Giving Assistant

Planned Giving Assistant Wayne State University is searching for an experienced Planned Giving Assistant at its Detroit campus location. Job Purpose Assist the senior director and planned giving officer with marketing strategies, prospect cultivation, donor stewardship and recognition of planned gifts. Responsible for the internal documentation and tracking of planned gifts and the administration of estates. This position reports to the Senior Director, Planned Giving. Responsibilities Document planned/estate gift expectancies and maintain planned giving files. Maintain and archive files on estates currently in administration, following up with attorneys, trustees, and Treasury staff. Schedule meetings, presentations, and coordinate events for Old Main Society members, handling logistics such as venue reservations, RSVP lists, refreshments, parking, and attendance confirmations. Oversee gifted life insurance policy process: track premiums, notify donors, notify Treasury of premiums received, prepare payment requests, and mail annual CGA Form 1099 statements. Coordinate donor testimonials and attain written statements for marketing materials with the Advancement Communications team. Manage travel arrangements for the Senior Director, act as TravelWayne delegate for employee travel reimbursement, and handle purchasing and reimbursements. Request prospect lists for marketing needs, verify data formatting, send to vendors, and follow up with donors and prospects. Suggest and implement timely contacts for legacy society members and donors in the stewardship process. Perform other related duties as assigned. Qualifications Education: Bachelor’s degree in marketing, public relations, business administration, communications or related field, or equivalent combination of education and experience. Experience: Minimum 2‑4 years of job‑related experience in a higher‑level administrative role; higher‑education or non‑profit experience preferred. Knowledge, Skills & Abilities: Analytical and presentation skills – evaluate, interpret, and present complex information effectively. Collaboration – partner with university units with integrity and high character. Communications – clear, concise, professional oral and written communication; persuasive presentations. Learning agility – independent self‑starter, quick learner, adaptable to change. Planning and organization – manage multiple projects, prioritize, meet deadlines. Teamwork – collaborate effectively within division and across units. Technical skills – proficient with Microsoft Office (Word, Excel, Teams) and complex administrative systems. Working Conditions Normal office environment. Hybrid schedule. Requires willingness to work extended hours for evening/weekend meetings and special events.
