POSITION SUMMARY
The Clinic Support Specialist II is responsible for greeting and checking in patients, verifying demographics, updating insurance information, collecting copayments, and managing check-out procedures. This role also includes scheduling appointments, verifying insurance eligibility and authorizations, answering and routing calls professionally, and maintaining a clean and welcoming reception area. plays a key role in supporting clinical operations and ensuring a seamless patient experience. This position provides both administrative and clinical assistance, helping to maintain efficient clinic workflow, support patient care, and ensure the smooth functioning of clinic services across multiple locations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Greet patients and visitors in a professional, courteous, and welcoming manner.
• Check patients in and out; verify demographics; collect copayments; and update insurance and registration information.
• Answer, screen, and route incoming telephone calls, responding to routine inquiries and escalating complex issues as appropriate.
• Schedule, audit, and maintain accurate appointments to support continuity of care and proper documentation.
• Verify commercial insurance eligibility and benefits and process authorizations for HMO and Medicare office visits.
• Maintain a clean, organized, and patient-friendly waiting area.
• Perform clerical and administrative support duties, including filing, data entry, scanning, and document management.
• Provide Front Office coverage as needed.
• Travel to Castro Valley and Walnut Creek office locations as required.
• Room patients and support efficient clinic flow.
• Accurately enter Review of Systems (ROS) information into the electronic medical record.
• Assist patients with Microsoft Teams access for virtual appointments.
• Oversee assigned medical equipment and ensure proper operation, including EMG machines and pump refill equipment.
• Support acupuncture clinic operations by preparing supplies and sanitizing rooms after each patient.
• Provide coverage for Back Office staff as needed.
• Retrieve and complete required forms, including FCA documentation.
• Assist with patient education related to treatment options, including ESI, FRP, and CBI.
• Collect urine specimens, perform preliminary urine drug screens, and process specimens for laboratory testing.
• Bill for preliminary and confirmatory urine drug screenings (UDS).
• Perform other related duties as assigned.
QUALIFICATIONS REQUIRED (EDUCATION, EXPERIENCE, AND SKILLS)
• High school diploma or General Education Degree (GED) required.
• Knowledge of medical terminology and clinical and laboratory procedures.
• Valid driver’s license and current auto insurance coverage.
• Proficiency with office equipment and software, including electronic medical record (EMR) systems.
• Strong data entry, documentation, and recordkeeping skills with high attention to detail.
• Ability to monitor workflow and perform quality control checks.
• Effective verbal and written communication skills with patients, staff, and providers.
• Strong customer service skills and professionalism when handling sensitive or difficult situations.
• Detail-oriented, organized, and able to work well under pressure in a fast-paced environment.
• Team-oriented with the ability to collaborate across departments.
• Sound judgment and critical-thinking skills to evaluate situations and make decisions.
• Ability to manage multiple tasks, meet deadlines, and adapt to changing priorities.
• Ability to meet the physical and environmental demands of a clinical office setting.
• Ability to travel as needed to other clinic locations.
PREFERRED
• Bilingual (English/Spanish) strongly preferred, with the ability to communicate effectively with patients, staff, and providers
• Previous Workers’ Compensation experience
• Certified Medical Assistant with 2 years of previous experience or bachelor’s degree in biology or a closely related field
• Current CPR/BLS certification

• The employee must occasionally lift and/or move up to 20–25 pounds (e.g., files, supply boxes, or office equipment).
• Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus for computer work and reviewing documents.
• The noise level in the work environment is generally moderate, consistent with a standard office or clinic setting, and tasks are often performed in close proximity to other staff.
