Summary/Objective
We are seeking a highly organized, detail-oriented professional who thrives in a fast-paced, collaborative construction administration environment. The ideal candidate is proactive, adaptable, and capable of managing multiple priorities, and the ability to perform detailed research projects, while maintaining accuracy, meeting deadlines, and contributing effectively to a team.
Salary Range: $28.00/hour - $36.00/hour
Essential Functions
- Provide administrative and operational support to the Legal Department and the corporate enterprise, including coordinating department activities, maintaining legal records, and managing confidential files in accordance with company policies and legal requirements
- Draft, proofread, edit, format, and finalize legal correspondence, memoranda, reports, notices, presentations, and other legal documents
- Support litigation by coordinating discovery requests, litigation holds, document collection and preservation, communications with outside counsel, case tracking, and legal file management
- Investigate and coordinate minor vehicle accident claims, including documentation review, follow-up activities, claim tracking, and file maintenance
- Support the company's risk management program by assisting with incident reporting, documentation, compliance tracking, insurance requirements, risk mitigation initiatives, and process improvements
- Coordinate commercial insurance claims from initial reporting through resolution by maintaining claim files, tracking status, and communicating with insurers, brokers, adjusters, third-party administrators, and internal stakeholders
- Support commercial insurance administration, including certificates of insurance, policy documentation, insurance compliance, and related recordkeeping
- Monitor legal matters by tracking deadlines, maintaining case files, organizing supporting documentation, and coordinating communications with internal and external parties
- Assist with the administration of construction contracts, subcontracts, purchase agreements, and other commercial agreements, including contract routing, revisions, execution, tracking, and retention
- Support compliance activities, including public filings, lien-related filings, business and contractor licensing, and other legal documentation
- Assist with benefit-related plan documents, including record-keeping and issue research
- Maintain organized electronic and physical filing systems, document retention processes, and legal records management
- Provide executive administrative support to the General Counsel, including calendar management, meeting coordination, travel arrangements, expense reporting, preparation of meeting materials, confidential communications, special projects, and drafting professional correspondence, reports, presentations, and other executive-level communications on behalf of the General Counsel
- Provide occasional administrative support to other executive leadership and Human Resources, assisting with special assignments, requests, and other business needs as required
- Serve as a point of contact for legal and risk management inquiries, including legal notices, subpoenas, regulatory correspondence, and department communications
- Maintain legal department procedures, forms, systems, and records while assisting with special projects and cross-functional initiatives
- Handle confidential legal, corporate, employee, and business information with discretion, professionalism, and sound judgment
- Occasionally travel as business needs require
- Perform other duties and responsibilities as assigned
Qualifications
- High school diploma or GED required, with at least two years of professional, vocational, or technical education in a relevant field highly desired and preferred
- Ability to enforce and refine business processes and procedures
- Strong computer skills (proficient in Microsoft Office suite, including Word, Excel, PowerPoint)
- Ability to research, summarize, and synthesize information
- Strong ability to organize, prioritize, manage to-do lists, and work under pressure and deadlines
- Ability to work independently while collaborating effectively with attorneys, executives, project teams, and outside business partners
Preference Given to Candidates With:

- Knowledge of commercial and/or construction-related agreements, transactions, insurance concepts, claims processes, and risk management practices
- Experience as a paralegal, legal assistant, or prior experience working within a law firm, corporate legal department, construction-related organization, or commercial insurance environment

Work Environment
This position is primarily performed in a professional office environment with regular use of computers, telephones, and other standard office equipment. The role requires frequent interaction with employees, executive leadership, attorneys, insurance representatives, and external business partners. Occasional visits to construction project sites, company facilities, or off-site meetings may be required. The position operates in a fast-paced environment that demands the ability to manage multiple priorities, meet deadlines, and handle sensitive and confidential information with discretion.
Physical Demands

This role requires prolonged periods of sitting, frequent use of a computer and standard office equipment, and occasional standing, walking, bending, and lifting or carrying files and office materials up to 25 pounds. The position may require the ability to travel occasionally to company offices, project sites, or legal proceedings as needed.
Position Type/Expected Hours of Work
This is a full-time hourly position. The scheduled hours are typically 40 hours per week, Monday through Friday but may be extended as required to execute the tasks assigned.
Travel
This position may require occasional travel.
Required Education and Experience
High school diploma or GED is required. At least two years of professional, vocational, or technical education in a relevant field highly desired and preferred. Experience as a paralegal, legal assistant, or prior experience working within a law firm, corporate legal department, construction-related organization, or commercial insurance environment is preferred.
Additional Eligibility Qualifications
- Must pass a pre-employment screen, including but not limited to a drug and alcohol screen, background check, motor vehicle records check, reference check and physical (if applicable).
- Current and valid driver’s license in the state of permanent residence (must be insurable by Jaynes automobile insurance carrier in order to drive a Jaynes vehicle).
- Must be eligible per Fleet Safety Management policy to operate a company vehicle or a personal vehicle for company purposes.
