Analyst

Position Description

Analyzes and coordinates office services such as personnel, budget preparation and control, fiscal affairs, equipment utilization, records control, and special management studies.

Major/Essential Functions

• Responsible for sorting out Payment Services mail received. Assures that all mail received for the day is date stamped, scanned, reviewed, attached to TechBuy, entered in the AP Invoice Management System, and handled accordingly.
• Responsible for monitoring the Accounts Payable inbox. Review and handle emails received timely. If an invoice is attached, ensure it is entered in the AP Invoice Management System and managed based on set instructions.
• Manage pending items in the AP Invoice Management System. Responsible for timely follow-ups of items on the pending list. Once the invoice is ready for payment, assign the invoice to staff for processing per set criteria.
• Review vendor statements to verify that the invoices listed have been paid. Contact department staff and vendors to request missing information.
• Backup to the team member responsible for the distribution of checks.
• Process invoices for payment when requested by the supervisor.
• Remain current with all licensures, certifications, and mandatory compliance and training requirements for this position.
• Adhere to all policies, procedures, and practices (Regents Rules, TTUS, HSCEP OPs, etc.).

• Perform all other duties as assigned.

Preferred Qualifications

• Ability to communicate effectively, orally and in writing.
• Organizational skills are essential.
• Detail oriented.
• Be able to perform satisfactorily under pressure to meet deadlines.
• Knowledge of Microsoft Word, Excel, Outlook, and the Accounts Payable process.

Pay Statement

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Required Qualifications

• Bachelor's degree in job related field plus one year of related experience;
• Combination of related education and/or experience to equal five (5) years.
