Executive Sales Assistant

Our customer-first mindset is at the core of everything we do, and we are seeking an Executive Sales Assistant to support our Vice President of Sales and sales leadership team. This role serves as a key partner to the Vice President of Sales, providing administrative, operational, and analytical support to help drive sales performance, coordinate customer and team events, manage cross-functional projects, improve team efficiency, and ensure critical sales processes run smoothly. The ideal candidate is proactive, highly organized, comfortable working with multiple stakeholders, and enjoys bringing structure and accountability to projects and processes. Responsibilities Executive & Administrative Support Provide day-to-day administrative support to the Vice President of Sales. Coordinate meetings, calendars, travel arrangements, and sales-related communications. Prepare presentations, reports, meeting agendas, and follow-up action items. Compile and maintain sales reports, dashboards, and performance metrics. Track sales activity, pipeline updates, and key performance indicators. Assist in gathering and analyzing sales data to support leadership decision-making. Ensure accuracy and consistency of sales records and reporting. Commission Administration Support the administration and tracking of sales commission programs. Calculate, verify, and maintain commission records and supporting documentation. Coordinate with Finance and Sales leadership to ensure commission accuracy. Respond to commission-related inquiries and assist with reporting. Maintain CRM data integrity within HubSpot and ensure customer and sales information is current. Support sales managers with administrative tasks, reporting requests, and follow-up activities. Assist with customer account setup, documentation, and internal coordination. Identify opportunities to improve sales processes and operational efficiency. Event Planning & Coordination Assist in planning, coordinating, and executing customer events, sales meetings, trade shows, team-building activities, and other company-sponsored events. Coordinate event logistics including venues, travel arrangements, catering, materials, schedules, and attendee communications. Track event budgets, timelines, and action items to ensure successful execution. Project Coordination & Follow-Up Assist the Vice President of Sales in coordinating cross-functional projects and strategic initiatives. Serve as a central point of coordination for key sales and cross-functional projects, following up with department leaders to ensure milestones, deliverables, and action items remain on track. Track project timelines, deliverables, and key milestones across departments. Prepare status updates and communicate progress, risks, and outstanding items to leadership. Cross-Functional Coordination Collaborate with Finance, Customer Service, Operations, and Sales teams to support organizational objectives. Facilitate communication between departments and assist in resolving administrative and operational issues. Provide additional support for sales and leadership initiatives as needed. Qualifications Required 3+ years of administrative, sales support, executive assistant, sales operations, project coordination, or related experience. Strong proficiency in Microsoft Excel, Outlook, Word, and PowerPoint. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities, coordinate projects, and meet deadlines. Professionalism and discretion when handling confidential information. Preferred Experience supporting sales leadership or executive-level management. Proficiency with CRM platforms; HubSpot experience preferred. Experience with commission tracking, sales reporting, or sales operations. Experience coordinating events, meetings, or company functions. Experience coordinating cross-functional projects and managing timelines, deliverables, and follow-up activities. Background in manufacturing, distribution, industrial products, or B2B sales environments. Experience creating reports, dashboards, and data analysis in Excel. 401(k): Eligible to enroll after 90 days of employment.
