Position Overview

Blue Sea Educational Consulting is a multidisciplinary professional collaborative serving students, families, and school districts throughout Long Island.

We are seeking a highly organized and detail-oriented Human Resources Coordinator for our Smithtown office. This entry-level position supports day-to-day HR administration, staff and provider onboarding, personnel records, and compliance tracking.

Working under the guidance of the HR & Administrative Operations Specialist, the coordinator will also assist with payroll, school contract documentation, and office operations. The ideal candidate will have some relevant administrative experience, strong computer skills, and the ability to manage multiple priorities accurately and confidentially.

Duties and Responsibilities

HR, Staff and Provider Administration

• Process onboarding paperwork and coordinate orientations for staff and providers.
\n
• Track required documents and follow up on incomplete or missing submissions.
\n
• Maintain accurate electronic and physical personnel and provider files.
\n
• Update staff and provider information within company systems.
\n
• Process routine status changes and offboarding documentation.
\n
• Respond to routine administrative questions and refer more complex matters to the specialist.
\n

Compliance Tracking

\n
• Monitor licenses, certifications, registrations, insurance documents, clearances, and required trainings.
\n
• Maintain compliance trackers and send reminders for upcoming expirations and deadlines.
\n
• Review submissions for completeness and flag missing, expired, or inconsistent documentation.
\n
• Assist with preparing records for internal reviews, audits, and district requests.
\n

Payroll and Benefits Support

\n
• Review timekeeping records for completeness and accuracy and flag discrepancies for follow-up.
\n
• Assist with payroll preparation, data entry, and supporting documentation.
\n
• Maintain PTO records and assist with benefits enrollment and changes.
\n
• Direct payroll and benefits questions to the appropriate contact when needed.
\n

Contract and Office Administration Support

• Organize school district contracts, amendments, and supporting documents.
\n
• Update contract trackers, spreadsheets, and district portals as directed.
\n
• Assist with routine document submissions and deadline reminders.
\n
• Support office supply ordering, vendor scheduling, and maintenance records.
\n
• Cross-train in designated contract, payroll, and office procedures to provide backup coverage when the specialist is unavailable.
\n

Skills and Qualifications

\n
• Associate degree required; bachelor’s degree preferred.
\n
• Some relevant administrative, HR, payroll, or compliance experience; typically less than two years. Relevant internships will be considered.
\n
• Strong administrative, computer, and data-entry skills.
\n
• Proficiency in Microsoft Outlook, Word, and Excel.
\n
• Ability to learn new software and online systems quickly.
\n
• Excellent attention to detail, organization, and follow-through.
\n
• Strong written and verbal communication skills.
\n
• Ability to follow established procedures, prioritize tasks, and meet deadlines.
\n
• Professional judgment and discretion when handling confidential information.
\n
• Willingness to learn, ask questions, and work collaboratively.
\n

Schedule

Monday through Friday, 8:00 AM – 4:00 PM (with 1 hour paid lunch)
