Description

Position Summary

The Aquatics Coordinator provides administrative and operational support for aquatics programs and facility activities. This position is responsible for customer service support during designated aquatics programs, coordination of program and staffing logistics, and assistance with administrative tasks. The Aquatics Coordinator helps ensure efficient day-to-day operations while supporting staff, participants, and the overall success of aquatics programming.


Essential Duties and Responsibilities

Customer Service and Program Support

• Provide on-site staff support and customer service support during Family Swims on Sundays & Mondays and either Fridays or Saturdays
• Support staff in resolving routine operational and customer service matters
• Serve as a resource for members and guests by addressing questions, concerns, and program inquiries; assist with rule enforcement, wait times, and any member/guest issues within aquatics and help ensure a positive customer experience

Administrative Coordination

• Provide administrative support for monthly Lifeguard Classes and Adult and Pediatric First Aid/CPR/AED classes
• Coordinate program logistics for Swim Workouts and Aqua Fitness classes
• Assist with enrollment tracking, marketing, communication with staff and participants, and program updates and documentation whenever needed
• Maintain accurate records related to certifications, classes, program participation, and program initiatives
• Collaborates with the Swim Lesson Coordinator and assists in all coordination and registration for group swim lessons, NEMO swim lessons, and private swim lessons for members and monitoring of several inboxes

Special Events and Operations

• Coordinate event logistics, staffing support, equipment needs, and participant communication for any special event, including birthday party rentals
• Support facility operations and other aquatics initiatives as assigned
• Assist with department projects and administrative tasks that contribute to the success of the aquatics program

Staff Scheduling and Pool Operations

• Review and cross-check all aquatics staff schedules, pool schedules, and program schedules to ensure accuracy, appropriate staffing levels, and efficient facility operations
• Monitor staff performance and provide feedback for improvement
• Coordinate shift coverage and assisting staff who have the responsibility of securing replacements for scheduled absences
• Monitor and adjust staffing levels to ensure adequate coverage for programs and facility operation, and supervise cleaning shifts whenever needed
• Track and maintain documentation of required lifeguard drills and training activities to support compliance with department standards and risk management practices
• Communicate scheduling updates, staffing changes, and operational information to staff in a timely manner

Qualifications

• Minimum age of 21 years
• Current Lifeguard certification preferred (or ability to obtain upon hire)
• Previous experience in education, customer service, or program administration
• Strong organizational, communication, and problem-solving skills
• Ability to manage multiple projects and deadlines simultaneously
• Proficiency with scheduling software and basic office applications preferred
• Ability to work evenings and weekends as required

Physical Requirements

• Ability to stand, walk, and actively supervise aquatic environments
• Ability to lift and transport program materials and equipment
• Ability to work in an aquatic environment for extended periods

Schedule (20-22 hours per week)

• Sunday: 1pm-4:30pm
• Monday: 2pm-8pm
• Tuesday: 1pm-4:30pm
• Friday: 2pm-8pm or Saturday: 12pm-6pm
