Staffing Coordinator The Hiring & Recruiting Coordinator is responsible for managing the day-to-day recruiting process, including reviewing applications, contacting qualified candidates, conducting initial phone screenings, scheduling interviews, maintaining applicant records, and communicating with candidates throughout the hiring and onboarding process. This position requires strong organization, communication, follow-up, attention to detail, and the ability to manage multiple candidates and recruiting activities efficiently. Essential Duties & Responsibilities Application & Candidate Management Review new applications received daily and prioritize qualified candidates. Review older applications when additional applicant flow is needed. Contact qualified applicants by phone and other approved communication methods. Document all applicant contact attempts and update candidate statuses. Review and respond to applicant messages, emails, and voicemails in a timely manner. Maintain accurate and current candidate notes and records. Candidate Screening Location and ability to travel to the assigned work site. Desired number of hours. Availability for morning, afternoon, or evening shifts. Weekend availability when required. Possession of required employment documentation. Valid driver's license and current auto insurance when required for the position. Interview Scheduling Schedule candidate interviews based on management-approved availability. Schedule interviews in 15-minute intervals when appropriate. Maintain an organized and efficient interview schedule. Minimize unnecessary gaps between interviews. Add all scheduled interviews to the appropriate Google Calendar immediately. Verify candidate name, position, interview date, time, and contact information. Candidate Communication Send approved interview confirmation and information to candidates after scheduling. Provide candidates with the interview date and time, office location, arrival instructions, and required documentation information. Send interview reminders as needed. Follow up with candidates regarding onboarding requirements and incomplete paperwork. Recruiting Administration Maintain blank background check forms and other required hiring documents. Maintain and update approved recruiting communication templates. Ensure recruiting documents and communications remain organized and consistent. Monitor onboarding progress and follow up when onboarding requirements remain incomplete. Communicate hiring updates and candidate information to management as needed. Review new applications and candidate communications. Contact qualified applicants. Schedule interviews. Update applicant records and statuses. Monitor email and candidate messages throughout the day. Maintain accurate Google Calendar interview schedules. Send required candidate communications. Follow up on outstanding onboarding requirements. Maintain professional and timely communication with candidates and management. Qualifications & Skills Strong verbal and written communication skills. Excellent organizational and time-management skills. Ability to manage multiple candidates and tasks simultaneously. Strong attention to detail. Professional and friendly telephone manner. Ability to maintain accurate records and documentation. Comfortable using applicant tracking systems, email, Microsoft Word, Google Calendar, and other computer programs. Ability to maintain confidentiality of applicant and employee information. Previous recruiting, hiring, human resources, customer service, or administrative experience is preferred.
