Job Title: Operations Manager Reports To: Executive Director Classification: Full-Time, Exempt Location: Guerneville, Ca Compensation: $82,000 - $90,000 annually, depending on experience (DOE) Schedule 1.0 FTE Organizational Overview: River to Coast Children's Services (RCCS) is a nonprofit Family Resource Center dedicated to nurturing the healthy development of children and families throughout Western Sonoma County. Since 1976, RCCS has partnered with families, child care providers, schools, and community organizations to remove barriers, expand opportunities, and strengthen the systems that help children thrive. Position Summary: The Operations Manager is responsible for coordinating the day-to-day operational implementation of River to Coast Children's Services' programs, grants, contracts, and special initiatives, including grant-funded collaborative projects. The Operations Manager develops and maintains operational systems, coordinates cross-functional projects, supports contract and grant implementation, oversees administrative processes, and ensures organizational activities are completed efficiently, consistently, and in compliance with applicable funding requirements. Working collaboratively with the Executive Director, Program Directors, Fiscal staff, consultants, and community partners, the Operations Manager strengthens internal systems, facilitates communication, monitors project deliverables, and supports continuous quality improvement. The position will have a significant role in coordinating RCCS's First 5 Sonoma County-funded initiatives and other assigned grants and collaborative projects, ensuring activities remain aligned with approved work plans, budgets, deliverables, reporting requirements, and timelines. Primary Responsibilities: Coordinate the implementation of organizational initiatives, grant-funded projects, contracts, and agency-wide operational activities, including assigned First 5 Sonoma County-funded initiatives. Develop, monitor, and maintain project work plans, timelines, deliverables, reporting requirements, and tracking systems to ensure successful and timely implementation. Strengthen organizational systems, policies, procedures, workflows, and documentation to improve efficiency, accountability, compliance, service delivery, and organizational continuity. Support grant and contract administration by monitoring deliverables, reporting deadlines, documentation, contractual obligations, and compliance requirements, and assist with preparation for funder monitoring, audits, and contract reviews. Coordinate assigned First 5 Sonoma County-funded initiatives and other grants and projects in collaboration with Program Directors, Fiscal staff, and agency leadership to ensure alignment with approved work plans, budgets, deliverables, and funding requirements. Coordinate communication and collaboration among RCCS leadership and staff, funders, consultants, subcontractors, community partners, and government agencies, including MOUs, partnership agreements, referral systems, and collaborative initiatives as assigned. Oversee project data collection, reporting, performance tracking, evaluation, and continuous quality improvement activities to support accurate, consistent, and timely reporting. Assist with operational and project budgeting, expenditure tracking, purchasing, vendor coordination, and financial reporting in collaboration with Fiscal staff and agency leadership. Identify project delays, operational challenges, compliance concerns, and implementation barriers and work collaboratively with appropriate staff to develop practical solutions. Support organizational technology, administrative systems, data security, staff training, and operational infrastructure, while ensuring confidential information is handled appropriately and securely. Coordinate agency meetings, funder and partner meetings, community engagement activities, and collaborative initiatives; represent RCCS as assigned and support organizational sustainability and capacity-building efforts. Perform other duties and special projects as assigned to support RCCS's mission and organizational priorities. Required Qualifications: Bachelor's degree in Business Administration, Public Administration, Nonprofit Management, Organizational Leadership, Project Management, or a related field. Equivalent combinations of education and progressively responsible experience may be considered. Three (3) to five (5) years of progressively responsible experience in nonprofit operations, project management, grants administration, organizational coordination, or a related field. Experience managing or supporting county, state, federal, First 5, Measure I, Medi-Cal, or other publicly funded grants, contracts, or programs, including compliance, reporting, and grant administration. Demonstrated ability to coordinate multiple projects, priorities, deliverables, and deadlines in a fast-paced environment. Strong project management, organizational, analytical, problem-solving, and follow-through skills. Ability to interpret grant, contract, and funding requirements and translate them into practical work plans, procedures, workflows, tracking systems, and implementation activities. Ability to develop, implement, evaluate, and improve operational systems, policies, procedures, and workflows. Experience collaborating effectively with agency leadership and staff, community partners, funders, government agencies, consultants, contractors, and multidisciplinary teams. Excellent written, verbal, interpersonal, and professional communication skills. Proficiency with Microsoft Office Suite, electronic databases, data management systems, and other technology used to support organizational and project operations. Ability to collect, analyze, track, and prepare reports using programmatic, operational, and performance data. Ability to handle confidential information with discretion and exercise sound professional judgment. Valid California Driver's License, reliable transportation, and proof of automobile insurance. Preferred Qualifications: Experience working in early childhood education, child development, family resource or family support services, public health, human services, or community-based nonprofit organizations. Knowledge of Sonoma County community-based services, public agencies, resources, and partnerships. Bilingual in English and Spanish (written and verbal) preferred, with experience working in bilingual and bicultural environments. Experience with program evaluation, data collection and reporting, quality improvement, performance measurement, and data-driven decision-making. Experience preparing for funder monitoring, audits, contract reviews, or regulatory compliance reviews. Experience coordinating or managing consultants, subcontractors, vendors, or collaborative partners. Work Environment and Physical Demands: Combination of office-based, community-based, and field work throughout Sonoma County. Frequent use of computers, telephones, scanners, and other standard office equipment. Frequent sitting, standing, walking, bending, reaching, speaking, and using a computer for extended periods. Frequent local travel to RCCS program sites, partner agencies, meetings, trainings, community events, and outreach activities throughout Sonoma County. Ability to occasionally lift, carry, move, or transport materials weighing up to 40 pounds , including outreach supplies, resource boxes, program materials, and event equipment. Ability to work occasional evenings and weekends to support agency operations, community meetings, trainings, outreach activities, and special events.
