Member and Volunteer Support Coordinator

Position Summary

This role helps bring our mission to life by making sure people feel welcomed, supported, and heard. The Member and Volunteer Coordinator plays a key role in organizing CHIP Indy and Continuum of Care events, meetings, trainings, and committees, creating spaces where collaboration can thrive. A special focus of this position is supporting, and compensating people with lived experience, ensuring their voices meaningfully shape our work. The coordinator also helps keep our community informed and connected by managing the annual update, printing, and distribution of the Handbook of Help, an essential resource for the community.

Essential Position Duties & Responsibilities

Membership and Volunteer Coordination and Stewardship

• Coordinate logistics for CHIP’s annual Homeless Persons’ Memorial, including volunteer recruitment and communication.
• Work closely with CHIP staff planning the annual Point-in-Time Count (PIT), and actively coordinate volunteer trainings, signups, logistics, and communications.
• Actively maintain and update membership, distribution lists and listservs for the Continuum of Care.
• Assist in the development and distribution of Continuum of Care Magazines or e-newsletters.
• Administer and report on results from membership and volunteer surveys.

Coordinate the engagement of people with lived experience of homelessness in Community and  Continuum of Care Spaces

• With the Continuum of Care Strategy & Engagement Manager, implement a plan to effectively recruit, engage and compensate persons with lived experience spaces such as the Youth Advisory Board, Blueprint Council Governing Board, and its committees, and other key committees/groups, in a way that specifically meets their individual needs.
• With the Continuum of Care Strategy & Engagement Manager, cultivate meaningful experiences for PLE to contribute their thoughts/insights/experiences to strengthen and improve the homeless response system. 
• Send reminders, materials, and provide tech support to people with lived experience engaged in the Continuum of Care.
• Manage compensation process for people with lived experience.

Logistical support for CHIP Indy & Community Spaces

• Support CHIP Indy and Continuum of Care community meetings by booking rooms, drafting emails and instructions for participants, ordering food, taking notes on behalf of CHIP, drafting follow-up emails, and providing set up and clean up help.
• This may include virtual and in-person meetings of the Blueprint Council and their subcommittees, Continuum of Care convenings and trainings, CHIP Indy partner meetings, and attending and taking notes meetings hosted by other organizations.
• Utilize board management software (Boardable) to ensure meetings of the Blueprint Council and its subcommittees are documented timely and accurately.

Resource Coordination and Support

• Manage the annual process of updating and distributing the Handbook of Help, which includes working with volunteers to update the information in the book, managing the project timelines and printing logistics, and coordinating the distribution/pick up of books by partner organizations.
• Assist with the review of requests and distribution of checks for Street Reach Indy.
• Ensure compliant record keeping and file audits for theContinuum of Care membership.

Administrative Support as requested

• Provide administrative support to CHIP staff on specific special initiatives as requested (e.g. scheduling key meetings, taking notes at meetings, etc..).
• Assist in the preparation and review of key reports, presentations, grant applications, and other documents as requested.

Critical and Demonstrable Skills

• A demonstrated passion for the organization’s mission.
• Excellent judgement and discretion in working with boards / partner agencies.
• Excellent organizational skills, with the ability to manage multiple projects and deadlines.
• High level of attention to detail and accuracy in work products.
• Effecting planning skills, with the ability to successfully manage a project from start to finish within established timeframes and goals.
• Tech savvy and proficient with Microsoft 365, willing to learn new systems as needed.

Education and/or Experience

• Associate’s degree or higher preferred in related field.
• At least 1 year of full-time experience providing high-level administrative, volunteer management, and/or events support. 
• CHIP will accept an equivalent combination of education, experience, and proven communication and project management skills.
• Individuals with lived experience of homelessness or housing instability are encouraged to apply.

Work Culture and Environment

CHIP has a creative, dynamic team and is dedicated to attracting and fostering talented and diverse individuals who reflect the communities being served and the communities most impacted by homelessness. CHIP has adopted a flexible, hybrid work environment that includes remote, community-based, and in-office schedules. CHIP staff are required to be in the office and/or in the community a minimum of two days a week. To further support staff and provide time for renewal and rest, CHIP closes the office twice a year for paid holidays- one week in July and one week in December.

Salary: $48,000/year
