Administrative Operations Specialist I

JM Test Systems provides calibration, test and measurement equipment, and technical services across multiple business segments and service locations. The Opportunity

Our Electrical Safety Laboratory tests and certifies the protective equipment that keeps workers safe, and every job depends on accurate paperwork, clear communication, and equipment that moves on time. As an Administrative Operations Specialist I, you'll help keep that work flowing.

In this role, you will support the ESL's daily administrative operations: tracking work orders and equipment status in CalMapp, answering customer questions, reviewing documentation, and keeping teammates informed. Working with the ESL Admin Supervisor, ESL Manager, and lab staff, you'll also learn and back up functions like QA/pricing, billing, receiving, and shipping, giving you a broad view of how the lab runs.

You'll thrive here if you're organized, detail-oriented, and enjoy helping people. Lab or technical experience is a plus, but not required.

Key Responsibilities & Outcomes

• Keep work moving. Monitor work orders, need-by dates, and equipment status, flag items that need follow-up, and help prepare completed equipment for return to customers.
• Keep information accurate. Maintain CalMapp and other systems, review paperwork for completeness, and identify and resolve discrepancies between equipment, work orders, and records.
• Take care of customers. Respond to customer questions about equipment status, documentation, scheduling, shipping, and pricing by phone and email, with timely, professional follow-up.
• Connect the teams. Communicate status changes, delays, and customer requirements to lab staff and coordinate with Receiving, Shipping, QA/Pricing, and Accounts Receivable.
• Support reporting. Maintain tracking tools like the HOT LIST, spreadsheets, and routine reports that help leaders monitor workflow and performance.
• Provide backup coverage. Cross-train on and support QA/pricing, billing, receiving, shipping, and other ESL admin functions as needed.
• Help us improve. Spot recurring issues and suggest better ways of working, and help update procedures, forms, and tools.

What You Bring

• Required: High school diploma or GED.
• Required: Experience communicating with internal and external customers, plus knowledge of basic administrative tasks like data entry, filing, and work orders.
• Required: Basic Microsoft Office skills (Outlook, Word, Excel), basic math, and the ability to learn new company systems.
• Required: Strong organization and attention to detail, with the ability to manage multiple priorities and deadlines.
• Required: Excellent written and verbal communication, good judgment, and the ability to handle confidential information.
• Required: Ability to sit and stand at a desk for extended periods, lift up to 25 lbs., and push carts and dollies.
• Preferred: Previous administrative, clerical, customer service, or operational support experience, especially in a laboratory, calibration, industrial, or technical environment.
