Client Services Coordinator

1776 Financial Services is seeking a professional, organized, and client-focused Client Services Coordinator to join our growing team. This role serves as the first point of contact for clients, prospects, and visitors while providing critical administrative and operational support to our team of financial advisors and branch professionals. At 1776 Financial Services, we believe in a team approach to financial planning. While each client works with a primary advisor, they benefit from the collaboration, experience, and support of our entire advisory team. The Client Services Coordinator plays an important role in delivering the exceptional service experience our clients have come to expect. The ideal candidate is personable, detail-oriented, dependable, and thrives in a fast-paced professional environment. This individual should enjoy helping others, managing multiple responsibilities, and contributing to a positive office culture. Essential Duties and Responsibilities Client Experience & Reception Serve as the first point of contact for clients and visitors, greeting guests in a warm and professional manner. Manage incoming phone calls, emails, and general inquiries. Prepare meeting rooms and ensure a welcoming office environment. Assist with client communications and follow-up requests. Administrative Support Provide administrative support to advisors and team members. Maintain accurate client records and documentation within the firm's CRM system. Assist with document preparation, scanning, filing, and record management. Monitor office supplies and coordinate ordering as needed. Process incoming and outgoing mail and package deliveries. Office Operations Help ensure the branch operates efficiently on a day-to-day basis. Coordinate vendor relationships and office service providers when needed. Assist in maintaining an organized, professional office environment. Support special projects, client events, seminars, and educational workshops. Collaborate with advisors and staff to continuously improve operational processes and client service experiences. Team Support Work closely with advisors, client service staff, and management to support firm objectives. Facilitate processing of incoming and outgoing correspondence into our firm’s compliance system. Assist with various administrative and operational tasks based on business needs. Participate in training and professional development opportunities. Qualifications Skills Outstanding interpersonal and communication skills. Strong organizational abilities and attention to detail. Ability to manage multiple priorities effectively. Professional appearance and demeanor. Proficiency in Microsoft Office (Outlook, Word, Excel).
