Finance and Administration Lead (U.S. Subsidiary)

About the Role We are seeking a hands-on, highly organized Finance and Administration Lead to manage all financial, accounting, administrative, and operational support functions for our growing U.S. subsidiary. As the first dedicated finance/admin professional in the U.S., you will build scalable processes, ensure financial accuracy, support smooth operations, and serve as a trusted partner to management. This role is ideal for someone who thrives in small teams , enjoys broad responsibilities , and wants to directly influence how a subsidiary operates. Key Responsibilities 1. Accounting and Financial Operations Manage full-cycle Accounts Payable and Accounts Receivable . Prepare and issue invoices, process vendor bills, and manage collections. Perform bank reconciliations , credit card reconciliations, and cash tracking. Maintain the General Ledger and support monthly, quarterly, and year-end close. Handle inventory accounting for kits/components (receipts, consumption, adjustments). Support cost accounting and work closely with HQ teams. Coordinate with external CPA firm for U.S. reporting and statutory compliance. 2. Billing, Payments and Cash Management Issue customer invoices with correct tax treatment. Schedule and release supplier payments. Monitor cash flow and anticipate funding or investment needs. Support treasury matters and maintain banking relationships. 3. Tax and Compliance Manage Sales Tax obligations (Avalara or CPA support). Support corporate income tax requirements with HQ and advisors. Prepare intercompany documentation and support transfer pricing compliance. Track regulatory requirements relevant to medical products. 4. Budgeting, Forecasting and Reporting Prepare annual budgets and rolling forecasts for the U.S. entity. Produce quarterly reporting packages: P&L, Balance Sheet, Cash Flow. Analyze variances and support local leadership with financial insights. 5. Administration and Office Management Oversee insurance policies (facility, liability, workers compensation, product liability). Coordinate facility/warehouse needs: leases, maintenance, utilities, safety compliance. Manage office supplies, vendors, and general services. Support onboarding and HR-related administrative tasks. Maintain document control and ensure policy compliance. 6. Payroll Coordination Liaise with third-party payroll provider to ensure accurate payroll. Maintain employee payroll records, benefits data, bonuses, and commissions. Reconcile payroll entries and support year-end filings (W-2, 1099). Qualifications Required 5-8 years of experience in Accounting, Finance and Administration. Strong experience in AP, AR, bank reconciliations, inventory accounting, and month-end close. Working knowledge of U.S. sales tax and corporate tax basics. Comfortable with a handson, multi-functional role. Strong Excel skills; familiarity with modern ERP systems (Odoo is a plus). Preferred Experience in medical devices, biotech, or regulated industries. Payroll coordination experience. Experience working with international companies or foreign HQ. Compensation and Benefits Competitive salary based on experience (typical U.S. range for similar roles: $95,000-$110,000 base ). Annual performance bonus: typically 5-10% .
