Leasing Consultant

The Leasing Consultant is responsible for coordinating all activities related to apartment rentals, move‑ins, move‑outs, and lease renewals. This position is responsible for interacting directly with prospective and current residents to achieve maximum occupancy and ensure resident retention and client satisfaction. The Leasing Consultant is also responsible for assisting the Property Manager and Assistant Manager as directed. Essential Duties and Responsibilities Perform all tasks related to renting apartment homes including generating traffic, responding to telephone and internet inquiries, greeting prospective residents, touring prospective residents throughout the property, qualifying prospects, and closing the sale by obtaining a rental application. Visually inspect the entire property (office, models, compactor, vacancies, and amenity areas) daily for cleanliness, inspect and touch up model units, and communicate related service needs to the Property Manager. Demonstrate community knowledge and apply product knowledge to clients’ needs by communicating the features and benefits and closing the sale. Process rental applications, obtain required documents, schedule move‑ins and prepare all lease file documents. Maintain lease files per policy and procedure. Accurately record traffic from all sources daily and convert a minimum of 30% of total traffic to leases. Follow up with prospective residents, including a phone call within 24 hours and a minimum of two additional follow‑up contacts. Assist with planning and implementation of the community marketing plan to generate traffic. Conduct outreach marketing visits on a weekly basis. Maintain leads and contacts. Pickup trash off the ground, operate the trash compactor when necessary, carry cleaning supplies or vacuum up or down stairs to apartment homes, and clean apartments to bring them up to resident‑ready standards. General Office/Administrative Responsibilities Record resident service requests accurately and in detail to assist the maintenance team in the timely completion of all requests. Schedule and inspect apartments for move‑in. Receive and acknowledge resident notices and prepare files. Assist in lease renewal procedure: complete lease renewal printouts and submit to the manager for approval, contact each resident by phone at least 90 days before the end of their initial term, send renewal letters to those residents unreachable by phone, and type new leases and all applicable addendums. Keep market surveys of competitor rates up to date at least monthly and visit competitors three times annually. Maintain all filing current. Schedule guest apartment and clubhouse rentals. Operate the office alarm system in conjunction with opening and closing the office. Deliver a thorough move‑in presentation to new residents. Customer Service Responsibilities Communicate clearly to residents, both verbally and in writing, using proper grammar and spelling. Carry and deliver boxes, flowers, newsletters, correspondence, etc. to residents’ apartments. Maintain a complete, clean, and neat appearance. Adhere to Pioneer’s dress code and personal hygiene policy at all times. Demonstrate customer‑service skills by treating residents, coworkers, supervisors, and vendors with respect, answering questions in a calm and open manner, responding sensitively to concerns or complaints, and exhibiting a sense of urgency. Company Responsibilities Assist the Property Manager and Assistant Manager with other tasks as required. Comply with Pioneer Property Management policies and procedures. Embrace and execute the vision, mission, and beliefs of the company. Be punctual and present at work when scheduled. Be flexible with the work schedule, including availability to work weekends, evenings, and/or holidays. Education and Experience Required High school diploma required; college degree preferred. Minimum of one year of previous customer‑service and/or sales experience preferred. Minimum of one year of previous residential leasing experience preferred. Skills and Requirements Excellent written and verbal communication skills for effective communication with residents. Excellent interpersonal skills to communicate effectively and sensitively with all levels of management. Sensitivity to confidential matters required. Ability to cope with and defuse situations involving angry or difficult people. Ability to use general office equipment, including telephone, fax machine, printer, copier, and key‑track system. Computer software experience including MS Word, MS Excel, MS PowerPoint, MS Outlook and YARDI. Basic understanding of Federal, State, and local Fair Housing laws. Ability to work independently and prioritize effectively in a fast‑paced environment with a strong sense of urgency. Scheduling Required to maintain a regular schedule that may require overtime, weekends, and non‑traditional holidays. May be required to be on‑call and aid during staffing deficiencies on‑site. Physical Demands and Work Environment Sedentary work typically in an office environment. Ability to lift, push, and pull up to 25 pounds occasionally required. Stooping, crouching, reaching, and standing occasionally required. Talking, hearing, and seeing with close visual acuity frequently required. Ability to walk around the property several times daily on uneven surfaces and/or climb several flights of stairs. Driving a golf cart on the property may be required.
