We are looking for a high-performance Sales & Executive Support Coordinator to be the backbone of our growth engine. This role is full-time and high-impact. Your core focus is to optimize the CEO's selling time by taking full ownership of lead intake, meeting scheduling and prep, post-meeting follow-up, proposal chasing, deliverable tracking, and the CRM. When the CEO meets someone, you get them logged, booked, confirmed and prepped. When a deliverable is promised in a meeting, you track it until it lands and remind him when it has not. When a proposal goes quiet, you run the follow-up clock until there is an answer. You will also do light marketing tactics and run our outreach playbook as time allows.

The ideal candidate has been the executive assistant, office manager, or client coordinator that a small firm ran on, and is organized in a way other people notice. You do not need to be technical. Your first three weeks are spent turning our runbook into the checklists and CRM views you will actually run, before you touch a live deal. This is a primarily remote position, but there will be days when you will be working from our Midtown office.

What You'll Do:

Follow-Up & Pipeline

• Run the morning loop: flag any prospect message we have not answered within a business day to the CEO with a suggested reply
• Run the follow-up clock on every open proposal so nothing sits quiet and nothing is chased twice by accident
• Track every deliverable promise the CEO makes in a meeting until it is delivered; remind him, or draft it yourself for his review
• Answer our main line: handle and log sales and vendor calls with their source, hand support calls to the service desk. (Once we hire dedicated callers, the line moves to them)

Calendar, Prep & Executive Support

• Book assessments, client reviews and networking one-to-ones on the CEO's calendar; confirm the day before as well
• Assist in preparing for meetings and following up afterwards
• Assemble proposal drafts from the CEO's notes and our templates for his review; follow up with prospects for signature

CRM & Reporting

• Log every lead and contact in the CRM, with a source and a next action
• Compile the weekly numbers and walk the pipeline with the CEO each week

Growth Programs

• Run three marketing campaigns on a monthly schedule, each with a checklist and a count
• Keep our target and referral-partner lists current and clean, and get mail lists to the printer on schedule

What You'll Add Over Time (After First 90 Days)

• Onboarding logistics for new clients through go-live: kickoff dates, agreements collected, first invoice verified, promises delivered

• Quarterly review preparation for our client list

• Operating our email nurture sequences once the CRM module is live

What This Job Is Not

• Not a sales job. No quota, no cold calling all day, no closing

• Not a technical job. You will never be asked to fix a laptop

What Success Looks Like

• No prospect message sits unanswered past one business day, and no deal goes seven days without a touch
• Every meeting on the CEO's calendar is booked, confirmed, prepped and followed up
• The CRM is the truth: every contact has a source, a history and a next action
• Every promise made in a meeting is delivered or escalated; nothing waits on memory
• The weekly numbers are compiled every week without a gap

What You'll Need

• 3+ years in executive support, office management, client or account coordination, or operations administration. We care how you work more than what your title was
• Real comfort on the phone with executives, including calling back politely when they have not answered the first three times
• Clean, clear writing
• A system for tracking what you owe people that lives outside your head.
• Follow-through without supervision
• Experience with Microsoft 365 and any CRM
