POSITION DESCRIPTION

Under the general direction of the Director of Student Financial Affairs, the Student Engagement Coordinator is responsible for comprehensive administrative support of the day-to-day operations related to administration duties. The Student Engagement Coordinator is the point of contact for prospect students, staff, faculty and visitors entering the campus and is responsible for student engagement initiatives, provide exceptional customer service through intake and pre-admission functions. The Student Engagement Coordinator supports student recruitment recruitment/outreach activities and provides support to various projects, and other assignments needed for the college. The Student Engagement Coordinator serves as action and principal operational pre-admission efforts by ensuring an efficient, welcoming, and student-centered experience from initial inquiry through pre-admission. The following describes the principal, most important work of this position. Operational Problem Solving and Decision-Making Independently evaluate operational issues affecting the College; research and compare alternative courses of action; select and review the solution within delegated authority; and elevate to the Director of Student Financial Affairs only matters that fall outside that authority or that carry major legal, reputational, or financial impact. Policy, Procedure, and Workflow Development Develop, interpret, recommend, and implement college pre-admissions operating policies, procedures, and workflows consistent with Instituto College policies. Authority to deviate from routine procedures when reasonably necessary to accomplish operational objectives, documenting the rationale for the deviation. Student Engagement Foster a welcoming, inclusive, and student-focused environment for prospective and current students. Coordinate and participate in student engagement activities, orientations, information sessions, recruitment events, workshops, and campus events. Build positive relationships with students and provide guidance on available college resources and services. Collaborate with college faculty and staff to enhance student engagement, and pre-admission retention initiatives. Assist in planning and coordinating special projects and student-centered programs such as financial aid, or open house workshops. Pre-Admission Services Serve as the first point of contact by greeting prospect applicants, visitors, students, faculty, and community partners in a professional and courteous manner. Answer and direct incoming telephones calls, emails, and walk-in inquiries. Provide accurate information regarding college programs, pre-admission requirements, academic calendar, and campus services. Maintain the reception area and ensure a professional appearance of the front office. Schedule appointments and assist with meeting coordination for administrator and staff. Conduct initial intake interviews with prospective students to determine eligibility and program interest. Explain pre-admission requirements, basic enrollment information, financial aid, and academic program information. Review and monitors applicants’ file, collects supporting documentation, and communicate with prospective students regarding outstanding pre-admission requirements. Coordinate placement testing, schedules pre-admissions interviews, and orientation sessions. Assist with recruitment activities, and community outreach events. Administrative Support and Office Operations Provide comprehensive administrative and operational support to the Director of Student Financial Affairs and college staff by coordinating daily office operations, coordinate mail distribution and correspondence, maintain organized filing system and record maintenance, reports, assist with data entry, document engagement, managing departmental calendars and records, maintaining confidential student information in compliance with FERPA, processing forms and data, coordinating office communications, special projects, and, presentations, meeting agendas, minutes, other departmental documents, and other institutional initiatives to ensure the efficient operation of the department needs Analysis and Executive Reporting Analyze operational, pre-admission, program, and student-outcome data; identify trends, bottlenecks, and risks; formulate recommendations; and prepare decision memoranda, dashboards, and reports for the Director of Student Financial Affairs and college leadership. Collaboration Work collaboratively with Admissions, Financial Aid, Academic Affairs, Student Services, and other departments to ensure seamless student support. Participate in departmental and institutional meetings, committees, and professional development activities. Perform other duties as assigned. Issue Investigation and Resolution Investigate and resolve non-academic operational issues and complaints within delegated authority and recommend action to the Dean on significant matters. Functional Leadership Assign, direct, and review the project work of front desk, summer interns, volunteers, and student workers; coordinate cross-functional teams and vendor personnel. Continuity and Delegation During the Dean’s absence, make operational decisions for the Office of the Dean within written delegation, excluding matters reserved to the Dean or other IDPL officers. Qualifications, Experience/Education Associate degree required; Bachelor’s degree preferred. An equivalent combination of education and directly relevant operational experience may be considered where appropriate. Two years of experience in higher education, pre-admissions, customer service, or office administration preferred. Demonstrated organizational skills with the ability to prioritize multiple tasks. Maintain focus in a fast-paced environment, and meet deadlines. Ability to handle confidential student, personnel, and institutional information with discretion. Provide strong interpersonal and customer service skills with the ability to interact professionally with diverse populations. Strong analytical and writing skills, including the ability to prepare decision memoranda, gap assessments, and reports. Ability to adhere to deadlines, reach to unpredictable events quickly and efficiently; be resourceful, manage conflict, and challenges. Advanced proficiency in Microsoft Excel, Word, Outlook, PowerPoint, and Teams; ability to work with student information, compliance, and reporting systems. Bilingual English/Spanish preferred. PHYSICAL DEMANDS

Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.

WORKING CONDITIONS

Majority of work performed in a general office environment. Position requires availability for extended hours plus non-traditional hours required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings.
