Pay: $28.00 per hour

Position: Full-time, onsite at our Fremont office

Schedule: Monday–Friday, eight hours per day beginning at 8:30 a.m.

About the Position

Rathbun Associates is seeking an organized, detail-oriented Customer Service Representative to support our customers throughout the United States and around the world.

In this role, you will respond to customer inquiries, process purchase orders, provide order updates, and coordinate with our internal departments to keep customers informed and orders moving accurately and efficiently.

We are looking for someone who communicates professionally, manages multiple priorities, and consistently follows through on customer requests. This position works onsite at our Fremont office.

Responsibilities

· Respond to customer inquiries by telephone and email in a professional and timely manner.

· Receive, review, and accurately enter customer purchase orders into the company’s system.

· Verify part numbers, quantities, pricing, requested delivery dates, and shipping instructions.

· Prepare and send order acknowledgments.

· Provide customers with order status, product availability, lead times, and shipping information.

· Monitor open orders and follow up with internal departments to resolve questions and outstanding issues.

· Coordinate with Sales, Purchasing, Production, Shipping, and Accounting.

· Communicate delivery delays, shortages, and changes to customers promptly.

· Process order changes, cancellations, returns, and payment requests according to company procedures.

· Assist customers with product information and documentation requests.

· Maintain accurate customer account information and organized order records, correspondence, and supporting documents.

· Support the sales team with customer follow-up and general administrative tasks.

· Help resolve customer concerns courteously and professionally.

Qualifications

· Previous experience in customer service, order entry, sales support, manufacturing, or distribution preferred.

· Strong written and verbal communication skills.

· Excellent attention to detail and commitment to accuracy.

· Strong organizational and time-management skills.

· Ability to prioritize multiple customer requests and meet deadlines.

· Comfortable using Microsoft Outlook, Excel, and other business software.

· Willingness to learn company products, procedures, and internal systems.

· Dependable, professional, and able to work effectively with customers and coworkers.
