POSTION SUMMARY

The Director will translate business needs into coordinated real-estate actions across site selection, leasing, renewals, expansions, acquisitions, dispositions, due diligence, and facility implementation. The role will also own the integrity and usefulness of the enterprise real-estate information environment, ensuring that lease documents, amendments, abstracts, floor plans, site plans, critical dates, metrics, and approvals are current, accessible, and decision-ready.

This is a full-time in person position requiring strong partnership with the Chief Financial Officer, National Real Estate Advisor, Finance, Legal, Accounting, Business Unit Leaders, regional teams, brokers, landlords, architects, property managers, and other enterprise stakeholders. The successful candidate will combine commercial real-estate expertise with strong project management, financial analysis, communication, judgment, and follow-through.

RESPONSIBILITIES

Enterprise Real-Estate Operations and Governance

• Support consistent processes, templates, documentation standards, and controls across the real-estate portfolio.
• Maintain confidentiality and exercise sound judgment when handling sensitive business, transaction, lease, and investment information.

Portfolio Management and Lease Administration

• Maintain accurate lease abstracts, lease metrics, floor plans, site plans, amendments, and related supporting documentation.
• Track lease expirations, renewal options, rights of first refusal, early-termination rights, notice periods, rent changes, security deposits, insurance requirements, and other material obligations.
• Coordinate lease renewals, amendments, expansions, relocations, and other portfolio changes with business leaders, landlords, brokers, Legal, and Finance.
• Review lease commencement letters, estoppel certificates, tenant-improvement reimbursement documentation, and other lease-administration deliverables.
• Establish and maintain a reliable critical-date calendar and escalation process, including 30-, 60-, 90-, 120-, and 180-day notifications where appropriate.
• Conduct recurring portfolio reviews and recommend actions to improve cost, flexibility, utilization, risk management, and operational fit.

Site Selection and Transactions

• Partner with Business Unit Leaders and regional stakeholders to understand real-estate needs for offices, yards, project support, National Markets, and O2S facilities.
• Review project intake information, clarify requirements, and develop concise site-selection recommendations.
• Coordinate with approved commercial brokers to identify alternatives, develop property short lists, arrange tours, and evaluate location, cost, timing, zoning, access, and operational considerations.
• Analyze leasing versus acquisition, self-development, or other implementation alternatives using Excel-based feasibility analyses and financial pro formas.
• Support Letters of Intent, purchase and sale agreements, leases, and related transaction documentation in coordination with Legal and executive leadership.
• Coordinate acquisitions and dispositions through due diligence, escrow, title, closing, and post-closing follow-up.
• Maintain transaction schedules, action registers, approval records, and closing documentation.

Due Diligence, Compliance, and Risk

• Coordinate zoning, land‑use, code, parking, environmental, survey, title, access, and other due‑diligence activities for prospective premises and transactions.
• Review Phase I environmental reports, ALTA surveys, title materials, and other third‑party reports; identify issues requiring specialist or executive review.
• Liaise with municipal zoning and code officials, consultants, landlords, brokers, architects, and property managers as needed.
• Support enterprise risk‑management assessments related to real estate, including lease obligations, facility condition, regulatory matters, transaction risk, and financial exposure.
• Escalate material legal, financial, environmental, regulatory, operational, or reputational risks promptly.

Broker, Landlord, and External‑Partner Management

• Serve as a primary day‑to‑day point of contact for landlords, landlord brokers, commercial brokers, architects, property managers, consultants, and other external partners.
• Coordinate the work of lead brokers supporting regional, national‑market, O2S, acquisition, disposition, and lease‑transition activity.
• Establish expectations for deliverables, communication, documentation, timelines, and data quality.
• Monitor broker and consultant performance and provide recommendations regarding coverage, workload, and service levels.
• Preserve continuity for existing lease amendments, shifts, renewals, and other active portfolio matters.

Systems, Reporting, and Data Quality

• Own the accuracy, completeness, and usability of the centralized real‑estate information environment, including the Tracker, SharePoint, Power BI, Glean, and related systems of record.
• Coordinate with system owners and stakeholders to maintain searchable lease documents, signed agreements, amendments, floor plans, site plans, abstracts, and audit history.
• Refresh quarterly office and portfolio metrics and develop leadership‑ready reporting views.
• Establish data‑quality routines that identify missing leases, missing abstracts, outdated dates, incomplete amendments, and other record gaps.
• Partner with Finance, IT, Accounting, and O2S to evaluate and implement relevant integrations, including office‑space, procurement, market‑comparables, and other data sources.
• Define and monitor portfolio, cost, utilization, risk, critical‑date, response‑time, and process‑efficiency measures.
• Maintain role‑based access, appropriate governance, and reliable reporting for regional, leadership, and portfolio users.

Design, Implementation, and Site Visits

• Support space planning, layouts, furniture standards, tenant‑improvement coordination, and facility implementation in partnership with business leaders and project teams.
• Participate in final walk‑throughs and turnover activities for significant office and facility improvements to confirm alignment with lease and project requirements.
• Conduct regular site visits across GME regions and National Markets, with additional travel for transactions, implementation, portfolio reviews, and stakeholder needs.
• Participate in management, training, and enterprise meetings as appropriate.

QUALIFICATIONS

• Bachelor’s degree in real estate, architecture, accounting, finance, business, construction management, or a related field required; advanced real‑estate, finance, or business education preferred.
• Minimum 8 years of progressive commercial real‑estate experience, including meaningful responsibility for corporate, industrial, office, yard, construction, or development‑related portfolios.
• Demonstrated experience with lease administration, site selection, transaction coordination, due diligence, renewals, amendments, and portfolio reporting.
• Experience supporting or managing commercial real‑estate transactions from initial evaluation through execution, closing, and implementation.
• Strong financial‑analysis skills, including the ability to build and interpret Excel‑based pro formas, compare alternatives, evaluate occupancy and facility costs, and communicate financial implications.
• Working knowledge of leases, purchase and sale agreements, construction or procurement contracts, zoning, environmental diligence, surveys, title, and related commercial‑real‑estate documents.
• Experience coordinating brokers, landlords, consultants, architects, property managers, internal business leaders, and legal and finance partners.
• Strong proficiency with Excel, Word, SharePoint, Power BI, and document‑management or lease‑administration systems; demonstrated ability to use AI tools responsibly to improve research, reporting, documentation, and workflow efficiency.
• Excellent written and verbal communication skills, with the ability to explain complex real‑estate, financial, contractual, and operational matters clearly and concisely.
• Strong project‑management skills, attention to detail, organization, prioritization, and follow‑through across multiple concurrent initiatives.

• Lease obligations, critical dates, amendments, and transaction milestones are visible, accurate, and acted on timely.
• Real‑estate records are complete, current, searchable, appropriately governed, and audit‑ready.
• Business leaders receive clear, practical options and timely support for office, yard, project, National Market, and O2S needs.
• Transactions, renewals, expansions, and facility implementations are coordinated effectively with Finance, Legal, brokers, landlords, and project teams.
• Portfolio reporting gives leadership a reliable view of cost, utilization, timing, risk, and strategic opportunities.
• Broker and external‑partner activity is coordinated consistently, with clear accountability and continuity across active matters.

The Director, Real Estate reports to the Chief Financial Officer or designated GME real‑estate executive and works in close coordination with the National Real Estate Advisor, Legal, Finance, Accounting, executive leadership, Business Unit Leaders, regional leaders, National Markets, O2S, approved brokers, and other external partners.
