Position Summary
The Document Scanner is solely responsible for converting the firm's physical client files into organized, cloud-based digital files in Canopy. This is a single-focus role; it does not include front desk, phone, or client-facing duties.
Key Responsibilities
• Scan physical client documents clearly and in the correct order; rescan anything blurry, cut off, or missing.
• Upload and file scanned documents into the correct Canopy folder (Year → Category → Subfolder).
• Label each file using the firm's naming convention: [Date] - [Document Type] - [Description].
• Flag any time-sensitive documents (such as notices) to the Office Manager right away.
• Keep physical documents organized throughout the process, and handle them afterward per firm policy (filing, shredding, or return).
• Report scanning progress and any equipment issues to the Office Manager.
• Maintain strict confidentiality of client information.
