Executive Support / Junior Office Manager

Executive Support / Junior Office Manager A leading boutique investment bank is looking to hire an Executive Support / Junior Office Manager for its Dallas office. This is a highly visible, hybrid role supporting a newly hired senior banker while also helping manage the day-to-day flow of the office. The role offers strong exposure to senior professionals, client-facing activity, and the daily operations of a fast-paced investment banking environment. The ideal candidate is polished, proactive, service-oriented, and highly organized. This person should enjoy being the go-to resource for the office, anticipate needs before they arise, and be comfortable supporting senior professionals in a client-service-oriented setting. Responsibilities include: Executive Support Provide direct support to bankers in the Dallas office Manage calendars, schedule meetings, and anticipate conflicts and priorities Coordinate domestic and international travel, including flights, ground transportation, and lodging Prepare and submit monthly expense reports through Concur and reconcile corporate card payments Answer and direct incoming calls and handle requests on behalf of supported professionals Office Management & Operations Support the smooth daily operation of the Dallas office Monitor and order office and pantry supplies Coordinate deliveries, vendors, facilities needs, and building management requests Reserve and prepare meeting rooms, including catering and audio-visual setup Help maintain a professional, organized, and welcoming office environment Assist with office events, client meetings, and team functions Front-of-House & Client Experience Serve as the welcoming first point of contact for clients, visitors, and guests Coordinate visitor access and help ensure a seamless guest experience Keep reception, conference rooms, pantry, and shared spaces clean, stocked, and presentable Respond to general inquiries and direct guests or calls appropriately Ad Hoc Projects Take on special projects and initiatives as needed Support process improvements and help implement new tools and ideas Step in wherever needed with a flexible, can-do attitude Ideal Candidate: 1–5 years of experience in executive support, office coordination, office management, reception, or front-of-house support Strong attention to detail and ability to stay organized across multiple priorities Polished communication style and strong client-service mindset Proactive, dependable, and able to operate several steps ahead Comfortable working in a highly visible role with exposure to senior professionals This is a great opportunity for someone who enjoys a blended executive support and office management role within a professional, fast-paced investment banking environment. #J-18808-Ljbffr Dynamics Executive Search
