The Onboarding Specialist manages and supports the electronic onboarding process for a nationwide healthcare organization. This role ensures a smooth and compliant transition for new hires by coordinating background checks, drug screenings, licensure verifications, I-9 completion, and document compliance. The Onboarding Specialist works independently and collaboratively with internal teams and external vendors, the Specialist contributes to the efficiency, consistency, and overall quality of the onboarding experience. Responsibilities Manage day-to-day activities of the electronic onboarding process to ensure compliance with federal and state employment laws and company policy Serve as a primary contact for candidates, hiring managers, and internal teams, providing timely support and ensuring a positive onboarding experience Coordinate and monitor third-party vendor processes, including background checks, drug testing, E-Verify, and credential verification; investigate and resolve discrepancies as needed Identify and resolve onboarding issues; elevate compliance or operational concerns when appropriate Collaborate with internal departments such as Implementation, Credentialing, and Field Support to ensure accurate and efficient onboarding workflows Maintain and audit electronic personnel files to ensure readiness for regulatory or accreditation reviews Support onboarding activities related to acquisitions, assisting in the accurate and timely integration of new employees Participate in process improvement initiatives by identifying opportunities to enhance efficiency, consistency, and candidate experience Assist in the creation, documentation, and maintenance of onboarding policies, standard operating procedures, and playbook materials to ensure consistent practices across the organization Serve as a knowledgeable resource within the onboarding function, providing guidance and expertise on complex onboarding requirements Manage additional onboarding-related tasks such as ID badge coordination and compliance documentation Perform other related duties as assigned Qualifications Minimum 1+ year(s) of HR experience in onboarding Associate's degree from an accredited college or university or equivalent education and experience In lieu of higher education, the ratio is 1:1 meaning one year of college equals one year of work experience and vice-versa Bachelor's degree is preferred Job-Related Skills/Competencies Concentra Core Competencies of Service Mentality, Attention to Detail, Sense of Urgency, Initiative and Flexibility Ability to make decisions or solve problems by using logic to identify key facts, explore alternatives, and propose quality solutions Outstanding customer service skills as well as the ability to deal with people in a manner which shows tact and professionalism The ability to properly handle sensitive and confidential information (including HIPAA and PHI) in accordance with federal and state laws and company policies Minimum 1+ year(s) of HR experience in onboarding Ability to manage sensitive and confidential information (HIPAA/PHI compliance Working knowledge of federal and state employment laws and onboarding regulations Previous experience with I-9 documentation and processing required Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); experience with applicant tracking systems (e.g., iCIMS) preferred Excellent written and verbal communication skills required Outstanding customer service and professional interpersonal skills Additional Data Employee Benefits 401(k) Retirement Plan with Employer Match Medical, Vision, Prescription, Telehealth, & Dental Plans Life & Disability Insurance Paid Time Off Colleague Referral Bonus Program Tuition Reimbursement Commuter Benefits Dependent Care Spending Account Employee Discounts We will ensure that individuals with disabilities are provided reasonable accommodation to participate in the job application or interview process, to perform essential job functions, and to receive other benefits and privileges of employment.
