Position Summary:
Under the direction of Harbor Light’s Medical Director, Nurse Practitioner/Physician Assistant, and Executive Administration, the Medical Supervisor supports medical services across all Harbor Light locations. This role provides direct supervision and support to Medical Team Leads and Paramedics while working collaboratively with LPNs and Administration to promote consistent, high-quality, and compliant client care. Responsibilities include supervising and supporting Medical Team Leads, conducting chart audits, staff trainings, monitoring compliance with licensing, accreditation, and HIPAA requirements, and assisting with staff development. The Medical Supervisor promotes evidence-based, trauma-informed practices and helps maintain a safe, therapeutic, and recovery-oriented environment in accordance with agency policies and regulatory standards. The Medical Supervisor contributes to the effective operation of Harbor Light’s medical programs by supporting clinical coordination, quality improvement, and regulatory compliance efforts. Through collaboration with site leadership, medical providers, and executive leadership, this role helps strengthen continuity of care, promote best practices, and support positive outcomes for clients receiving services. Essential Responsibilities:- Manage all inquiries with regard to information, referral, and/or possible admission
- Conduct pre-admission screenings of potential clients for detoxification services and schedule program admissions
- Conduct staff training for new medical employees and notify current employees of any changes in day-to-day procedures
- Provide direct supervision, leadership, coaching, and performance oversight of Medical Team Leads at all Harbor Light locations.
- Conduct regular meetings with Medical Team Leads to ensure consistent implementation of medical policies, procedures, and best practices throughout the Harbor Light System.
- Partner with Site Administrators and Human Resources regarding hiring recommendations, performance management, corrective action, and staff development involving Medical Team Leads.
- Monitor staffing needs and provide consultation and support to Medical Team Leads regarding scheduling and coverage concerns.
- Conduct routine audits of medical charts, detoxification records, medication documentation, and client health records to ensure accuracy, completeness, and regulatory compliance.
- Develop and implement corrective action plans related to medical documentation deficiencies identified through audits.
- Monitor compliance with Harbor Light policies and procedures, state licensing requirements, accreditation standards, and applicable healthcare regulations across all locations.
- Review quality assurance metrics and identify opportunities for continuous improvement within medical services.
- Conduct site visits to Harbor Light facilities as needed to evaluate medical operations, documentation practices, and service delivery.
- Ensure consistency of medical practices, documentation standards, and client care protocols across all Harbor Light programs.
- Assist Medical Team Leads and Site Leadership in resolving complex medical and operational issues.
- Participate in weekly check-ins with Nurse Practitioner and Director of Operations.
- Attend monthly meetings with the Medical Director, Nurse Practitioner, and Director of Operations.
- Provide system-wide medical training and professional development to nursing staff and Medical Team Leads.
- Review and maintain all Detox records and medical charts for accuracy, completeness, and compliance through ongoing audit processes.
- Prepare reports regarding medical compliance, chart audit findings, quality assurance outcomes, and operational recommendations for Harbor Light leadership.
- Verify and approve hours worked for employees and submit information to the Human Resources department in a timely manner

- HIPAA - Level 1 access to Clinical Records
Education / Experience:
- Must have and maintain a current valid Registered Nurse (RN) license
- CPR/FA and AED certification
- Experience in substance abuse preferred
- Maintain strict client confidentiality
- Possess working knowledge of Occupation, Safety, and Health Administration standards and Universal Precautions
- Proficiency with Microsoft 365 Office Applications and email
- Experience with Electronic Medical Records preferred
- Complete Safe From Harm training, and keep current as needed
- Must have and maintain a current valid chauffeur license and pass the Salvation Army Motor Vehicle Record check (MVR)
