Receptionist- WEEKENDS Jacksonville, FL PRIMARY PURPOSE OF POSITION: Responsible for providing receptionist support for theDealership by answering telephone calls, taking messages, and greeting visitors in a professional manner, and for providing administrative support forall departments as required. Regular attendance and timeliness are essential functions of this position. MAJOR DUTIES OF POSITION: * Answer all incoming telephone calls, transferring to appropriate extensions or taking messages * Greet visitors, collect client information, and ensure they are welcomed in a professional manner in conformity to thedealership standards (offered water, coffee, tea, etc.) * Maintain a neat, well stocked, and organized atmosphere of front desk and lobby * Maintain knowledge of staff andmanagers whereabouts * Reserve and coordinate scheduling of meetings and appointments * Responsible for runningand accepting credit card payments * Responsible for sorting all mail; signing for and distribution of all Fed Ex and UPS packages * Assist other departments, as needed (mailings, copies, scans etc.) * Maintain inventory ofdealership business cards * Assist with scheduling and coordinatingdealership activities (barbeques, birthday cards, food drives, community involvement) * Perform other duties as necessary as assigned by management KNOWLEDGE AND SKILL REQUIREMENTS: * Someexperience in a receptionist and administrative assistant position, with increasing responsibility and proven ability to provide administrative support for more than one department, with minimal instruction or supervision * Ability to work with employees and visitors from diverse cultures and communicate effectively and provide support as necessary * Ability to answer a multi-line phone * Excellent telephone etiquette and demeanor * Ability to work in a team environment * Judgment and tact in handling sensitive and confidential matters * Ability to be flexible and to focus despite distractions and changing priorities * Ability to prioritize, coordinate and handle multiple duties and tasks * Strong word processing skills with familiarity with Microsoft Office: Word, PowerPoint, Excel, etc. * Good working knowledge of office equipment * Ability to organize documents, files and folders in a timely manner * Excellent organizational skills, as well as verbal and written skills * Excellent grammatical skills PHYSICAL DEMANDS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
