About the Role:

The Front Office Level 1-Medical Records Specialist plays a critical role in managing and maintaining accurate patient medical records within a healthcare setting. This position ensures that all medical documentation is properly organized, securely stored, and readily accessible to authorized personnel, supporting efficient patient care and compliance with healthcare regulations. The specialist serves as the initial point of contact for medical records inquiries, facilitating communication between patients, healthcare providers, and administrative staff. By meticulously handling record requests, data entry, and record retrieval, this role contributes to the seamless operation of the medical records department. Ultimately, the specialist helps uphold the integrity and confidentiality of sensitive health information, which is essential for quality patient outcomes and regulatory adherence.

Location: Lakewood Ranch Primary Care; and Sarasota Specialty

Full-time, Monday-Friday from 8am-5pm

Minimum Qualifications:

• High school diploma or equivalent.
• Basic knowledge of medical terminology and healthcare documentation standards.
• Familiarity with electronic health record (EHR) systems or willingness to learn.
• Strong organizational skills and attention to detail.
• Ability to maintain confidentiality and adhere to HIPAA regulations.

Preferred Qualifications:

• Certification in Medical Records or Health Information Management (e.g., RHIT, CCA).
• Experience working in a healthcare environment, particularly in medical records or front office roles.
• Proficiency with specific EHR software such as Epic, Cerner, or Intergy.
• Excellent communication skills for interacting with patients and healthcare professionals.

Responsibilities:

• Receive, review, and process requests for medical records in accordance with legal and organizational policies.
• Maintain and update patient records accurately within electronic health record (EHR) systems and physical filing systems.
• Coordinate with clinical and administrative staff to ensure timely availability of medical records for patient care and billing purposes.
• Verify patient information and ensure compliance with privacy regulations such as HIPAA during record handling and release.
• Assist patients and healthcare providers by responding to inquiries related to medical records and documentation procedures.
• Support the front office team by managing incoming calls, scheduling appointments, and providing general administrative assistance as needed.

The required skills enable the specialist to accurately manage and organize medical records, ensuring that all patient information is complete and accessible for clinical and administrative use. Attention to detail and organizational abilities are essential for maintaining compliance with healthcare regulations and preventing errors in documentation. Communication skills are used daily to interact professionally with patients, healthcare providers, and team members, facilitating smooth information flow. Familiarity with EHR systems allows the specialist to efficiently enter, retrieve, and update records to support timely patient care. Preferred skills, such as certification and experience with specific software, enhance the specialist's ability to navigate complex healthcare environments and contribute to continuous improvement in records management.
