Hours: Mon-Fri 9am to 4pm (during training), 7:30am to 4pm once trained

Customer Service Representative - Position Summary

Our Client is seeking a professional, welcoming, and organized Customer Service Representative / Receptionist to serve as the primary point of contact for the company. In this role, you will represent the company as the first voice or face that customers, contractors, and field technicians encounter.

You will manage incoming calls, welcome visitors, assist with service and material inquiries, and support our sales and project coordination teams with day-to-day administrative tasks.

Customer Service Representative - Key Responsibilities

• Front Desk Operations: Welcome incoming visitors, contractors, delivery drivers, and clients in a professional, courteous manner.
  
• Call Handling & Communication: Answer high-volume incoming phone calls, address basic customer questions, direct calls to the appropriate team members, and take accurate, detailed messages.
  
• Customer Support & Service Requests: Assist clients with general product inquiries, basic order status updates, and logging incoming service or quote requests for doors, frames, and hardware.
  
• Administrative & Data Entry: Maintain organized digital and physical customer records, enter order details into internal systems, process incoming mail, and manage office correspondence.
  
• Team & Field Coordination: Act as an administrative hub between front-office staff, field installation technicians, and warehouse personnel to ensure seamless communication on daily job activities.
  
• Office Maintenance: Keep the front lobby, reception area, and main office spaces tidy, stocked with office supplies, and presentable to guests.

Customer Service Representative - Qualifications & Requirements

• Education: High School Diploma or GED required; Associate's degree or administrative training is a plus.
  
• Experience: 1-3 years of experience in front desk receptionist, customer service, or administrative support roles (experience in commercial construction, trades, or building materials distribution is a major advantage).
  
• Technical Skills: Proficiency with Microsoft Office (Word, Excel, Outlook) and basic office equipment (multi-line phone systems, scanners, printers). Comfort learning internal inventory or ERP software.
  
• Interpersonal Skills:

  • Strong phone etiquette and active listening skills.
    
  • Professional demeanor, dependability, and strong attention to detail.
    
  • Ability to multitask, prioritize, and remain calm in a fast-paced environment.

Customer Service Representative - Physical Requirements & Work Environment

• Position is primarily office-based and seated at a desk for extended periods.
  
• Occasional light lifting (up to 20 lbs) for office supplies, small packages, or sales collateral.
  
• Frequent phone usage and computer typing throughout the shift.
