Human Resources Administrative Assistant

Title: Human Resources Administrative Assistant Reports To: Director of Human Resources Department: Human Resources Classification: 12 Month FLSA Status: Non Exempt JOB OVERVIEW Working with the Human Resources team and related departments, the Human Resources Administrative Assistant uses considerable discretion and independent judgment in assisting with the day to day operations of the Human Resources office. The Human Resources Administrative Assistant is responsible for a wide range of human resources functions, including monitoring a variety of computer systems, data, records, and compliance management. QUALIFICATIONS Associate degree or higher required Proficiency in Google Suite Excellent communication and people skills Excellent organizational skills Ability to maintain confidentiality Desire to work as a team Ability to effectively interact with a diverse population and all stakeholders Ability to problem-solve, prioritize, and multitask Ability to perform tasks with speed and accuracy; organization and attention to detail Experience in a human resources or school office setting, preferred Experience with HR related applications and data management systems (preferred) Ability to communicate in Spanish (preferred, not required) PERFORMANCE RESPONSIBILITIES Responsible for entering new hires and updates to current employees in a variety of systems including attendance system and mandatory training system Responsible for all aspects of background checks Serves as the point person for absences Processes and assigns yearly leave allocations Enters leave balances Monitors documents for restricted absence days and ensures proper use of allocations based on contracts Prepares staff letters including contracts, salary letters, notice of assignment, and off boarding letters Prepares informational emails for staff and public Processes name changes and employee information changes Builds and runs various reports as needed Provides general back up for human resources department activities Other duties as assigned PHYSICAL DEMANDS While performing the duties of the job, the employee is regularly required to sit; use hands to manipulate, handle, or feel; and talk and hear. The employee is regularly required to reach with hands and arms. The employee is frequently required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The employee regularly types using a keyboard.
